2760277 - Calibration - Unable to Finalize a Session

Symptom

Calibration Sessions that cannot be finalized.

This could happen if a performance form has skipped a step due to an invalid user in the route map.

Or this could be as the Session Facilitator has been made inactive in the system.

 

Environment

  • SAP SuccessFactors Calibration
  • SAP SuccessFactors Performance Management

Resolution

Scenario 1:

  • The document ID provided by the system when trying to finalize the session will indicate the affected form.
  • This happens because all forms have to be on the same step and if a form skipped a step the criteria is not met.
  • Routing the form back and forward will not change the calibration session because calibration sessions are not dynamic.
  • It is required to deactivate the session and reactivate it. This will allow the user to finalize the session.

Note: To prevent this in the future, please make sure that all roles in the route map are valid.

Scenario 2:

  • It is best practice to include at least one Co-Facilitator when creating a Calibration Session.
  • This means that if a Facilitator has to be made inactive, then there is another user in the system with permission to finalize or edit the sessions.

Workaround 1:

  1. Go to Manage Calibration Settings > Global Settings tab:
  2. Enter a user(s) in the "Choose a user to replace a calibration session's only facilitator who has been inactive:" field.

Workaround 2:

  1. Set the inactive session facilitator to active again in the system.
  2. Proxy as the facilitator and finalize the Calibration Session.
  3. Set the facilitator to inactive again.

Workaround 3:

  1. Set the inactive session facilitator to active again in the system.
  2. Proxy as the facilitator and deactivate the session.
  3. In the deactivated state, add an active user as co-facilitator of the session.
  4. The new co-facilitator can now finalize the session.
  5. Set the original facilitator to inactive once again.

Workaround 4:

  1. Go to Manage Calibration Settings
  2. Under the Permissions tab, grant the "Finalize" permission to another Calibration role, e.g. Owner
  3. Save changes
  4. Now the session owner should be able to finalize the session.

Notes:

  • Changes made under "Manage Calibration Settings" apply to ALL sessions, therefore, remove the permissions once you have performed this action.
  • The Finalize permission needs both the Read and the Write permissions. So, when you enable the Finalize permission for a role, both the Read and the Write permissions are automatically enabled.
  • In order for the "Executive Reviewer" to be able to select multiple calibration sessions to Mass Finalize, the permission for "Export" needs to be enabled in "Manage Calibration Settings" for the "Executive Reviewer" role - Without this, the checkboxes are greyed out and cannot be selected.
