Here are some of the FAQ regarding the Integrated External User feature and its implementation

Resolution

When exactly will native login no longer be supported?
Admins should make the switch now to as it’s more beneficial to access via Foundation. The deprecation timeframe is September 2020.

Is there a way to use only the External Learner API and not use sites?
Yes, using the External Learner API is going to be supported going forward.

You can create and update External users via API, please see this section of the Help documentation.
 
Do we need an SAP partner/consultant to complete this process?
Yes, that’s correct.  A Professional Service/Partner engagement should be requested to implement the external/site integration. If you are an SAP Preferred Success customer you could also leverage your CSM to partner up with our Functional Specialist team to review your requirements and scope the project.
 
In the LMS we use several different shared admin accounts to schedule and maintain reports used for data export to other systems, as well as maintain end-user reports for clients throughout the business.  Will we still be able to maintain these existing accounts?
Yes, you can continue to maintain those accounts making sure they also have accounts created in Foundation allowing you the ability to use the Proxy functionality.

Do we need to now manage passwords through Foundation, or can we still manage it through Learning Administration?  Will this apply to Site users as well as External Learners like contractors not using sites?
Password policies will be now managed in the central location of Foundation.

What is the impact on licenses?
An internal user or an external user could both be a Functional User license type. Similarly, an external user could be an Active User license type.
If a customer has external users that are Functional User license type, they can bulk update using the import tool.
While you do not need a module license to use the integrated external user functionality, you will need to ensure that the users in Foundation/EC are properly set to count towards your active/functional user license count.

What URL will be used to access integrated learning site and will users have access to other modules of Foundation?
Eventhough external users may be configured in Foundation (BizX), access to their site is done via the regular LMS site URL and they would only be granted access to Learning.

What happens when a user self-registers on a site?
The account is automatically created both in LMS and Foundation (as of 1911)

What happens when a user is manually created in LMS by an admin?
Manually created external users in LMS do NOT auto sync to foundation nor do historical site users.

What happens when a user is created by the User Connector?
These users do not auto sync to foundation (BizX).

How to ensure that user records manually created in LMS by an admin have an external shopping account?
The shopping account must be changed to external on the user record once it has been created navigating to related/more > Commerce > Set the Shopping Account Type to External

What happens for external users created in Bizx?
For all LMS users that are created in BizX using Integration Center the PERSON_GUID must be pushed back to LMS every time. This can be setup as a recurring job from IC to the Person ID Connector.

Can we have integrated external admins?
This is not yet available in the product. Please see enhancement https://influence.sap.com/sap/ino/#idea/241628
All administrators need to login through SuccessFactorsFoundation and added to Foundation RBP to be given access to Learning Administration. At this time, if you have external users that require admin priviledges you have to give them an internal status until the functionality is supported.

Is SSO supported for integrated external users?
Integrated external users can have SSO has a login method ONLY if they are created through API
IMPORTANT:
if you already have SSO enabled for internal employees and you will allow integrated external users to self-register - these users will be identified as PWD by default. In that scenario you NEED to enable partial SSO otherwise your external users will be redirected to the SSO login page.

Is approval or registration code supported with the integrated external users?
Registration codes are currently supported and available.
Approval process is currently not supported and under review.

Can we purge Integrated external users?
Partial purge is available using DRTM learning - this is for employee record change history and learning history records
Full purge using DRTM Master data purge is under development, please contact support if you require assistance.
