2836908 - Change Audit: RBP User Role Change Report

Symptom

  • I want to identify who assigned a RBP Role to a user.
  • I have created a RBP User to Role Report
  • The Report does not show any information of the user who made the changes for Operation Performed (I)

Reproducing the Issue

  1. Go to Admin Center > Change Audit Reports
  2. Select Create Configuration Data Report > Role Based Permission
  3. Select RBP User Role Change Report as the Report Type
  4. Enter a date range in the Time Range selection
  5. Click Submit

Result = The Report shows the RBP Roles that have been assigned/inserted for a user, but does not show who made the changes.

Cause

This is expected behaviour.

The RBP User to Role Report is designed to show the roles that have been assigned to a user only. It does not show who or what caused the changes.

These columns cannot be provided in the RBP User to Role change report because of how RBP works and is architected.
RBP does not have this information as the changes to roles are a result of other things changing in the system with regard to users and org. structures.

e.g. User changes their Location or Manager etc.

Resolution

Per system design, it is currently not possible to generate a report that would show an exact who changed what and when scenario.
An admin can review the history trail however, and do a before/after comparison for each change made to Roles and Groups within the instance.

Possible workaround:

The system does offer a number of reporting capabilities within the system that can capture a large amount of useful information.

RBP Roles are assigned to users based on profile attributes.

An admin will be able to identify who made the changes by studying the profile attributes that are needed to have that RBP Role. Once this information is identified, they can create a Personal Data Audit Report on a specific user.

The report will identify who made the attribute changes to that user, which caused them to be assigned to the RBP Role.Go to Admin Center > Change Audit Reports.

  1. Go to Admin Center > Change Audit Reports
  2. Create Personal Data Report > Person Search
  3. Under Activity select Change on Subject User
  4. Under Person enter the details of the user you want to audit the changes on
  5. Under Module select a specific module or leave blank to include all modules.
  6. Enter a date range in the Time Range selection
  7. Submit
