2509058 - HRIS Sync: Why not to use Performance Management Document Transfer when Employee Central is enabled

Symptom

We are going to Go Live soon with Employee Central. What are the considerations we should make with relation to Performance Management Document Transfer processes?

Environment

  • SAP SuccessFactors Employee Central
  • SAP SuccessFactors Performance Management

Resolution

The Admin Center tool "Document Transfer" should not be used when Employee Central is enabled. This is because Employee Central governs the data related to the employee (their Manager and other role relationships like Matrix Manager), and also the routing of Performance Forms. Therefore Document Transfer is no longer needed, as Employee Central HRIS Sync can take care of this whole process automatically.

When Employee Central is enabled this process is no longer managed via "Document Transfer" or "Employee Import" (replaced with Import Employee Data > Basic User Data when Employee Central is enabled) features. Instead when the Manager (or other role) as well as other data (such as First Name, Last Name and other employment related data) is synchronized to Basic User Data (UDF) via the HRIS Sync feature.

This means that the Document Transfer (or the Employee Import process to move forms from 1 manager to another) should no longer be used. This will occur automatically, based on your HRIS Sync configuration.

Advice for customers moving to Employe Central

  1. Please remove permission to the Document Transfer tool for all System Admins (to avoid any confusion or possible data corruption by uninformed system admins)
  2. Provide locale Knowledge Sharing with the Admin team on how Employee Central HRIS Sync works, and how Manager and other data changes will be synchronized and forms will be automatically routed based on configuration (check in the "See Also" section for more information on HRIS Sync)

What happens if an Admin mistakenly uses Document Transfer to move Performance Forms from one manager to another?

In this scenario, if you use Document Transfer to move the Employee and their Performance Forms to a new Manager (for example) this will break the relationship between Employee Central data and the SAP SuccessFactors HCM Platform data (Basic User Data / UDF). Then the data wil be out of sync. If an admin did this you will likely find that you encounter an application error when trying to change the Employees Job Information data (error on saving the data).

So, what should you do to correct it?

  1. Use the Document Transfer tool to move the Performance Forms and the Employee back to the original Manager
  2. Verify all forms and the Employee are now with the original Manager
  3. Go to My Employee Files > Employee Information > Take Action > Change Job and Compensation Information > change the employee's Manager > Save (approve any workflows that get triggered)
  4. The HRIS Sync will trigger and the Manager and data in the SAP SuccessFactors HCM Platform will be updated, and the Performance Forms will be moved as per configuration

Can I trigger the same update by inserting a new Job Info record via History?

Yes you can - HRIS Sync triggers when saving data (if the Effective Date of the change is Today or is the current record in the stack).
