Symptom

  • Configuring ONB-LMS Integration .

Environment

  • SAP HCM suite
  • Onbaording
  • Learning Management System (LMS)

Resolution

There is not an actual integration between ONB and LMS.
ONB integrates to Platform (EP) and LMS picks up new hire information from the Platform (EP-Employee profile) via Connectors.

Case 1:RCM-ONB-EC(no pre-day enabled)

  1. onboarding started
  2. candidate will be hired in EC (user id will be generated)
  3. user id sync through (HRIS Job)}-->Employee profile----{job syncs user id to LMS}-->User created in LMS (candidate will access course through is user id)

 

Case 2:RCM-ONB-EC (preday 1 enabled with feature use temp id as permanent id is active in provisioning)

  1. onboarding started---->preday temporary user id will be generated and updated in EP--{job syncs user id to LMS}----->User created in LMS (candidate will access course through is temproeary user id)
  2. Once candidate hired in EC --{HRIS job send details to update in EP}---EP wil be updated with permanent id (is same as of temporary id) and LMS record is synced.
    Since the candidate and new hire ID are the same, there should be no change in LMS.

 

Case 3:RCM-ONB-Third party HRIS (not successfactor EC-preday1 enabled)

  1. onboarding started---->preday temporary user id will be generated and updated in EP--{job syncs user id to LMS}----->User created in LMS (candidate will access course through is temporary user id)
  2. SAP HCM will send different record to Employee profile and data will not be in sync in this scenario.
  3. In this case, in LMS, the temporary record and the permanent record should be merged into one (this process is not automatic and has to be done manually, see References for related articles).


As per ONB Product Experts Advice, the best or preferred option is Case 1 because the candidate may end up not joining the organisation. Therefore, we recommend having the candidate take courses after joining the organisation and it will not lead to legal issues for customers..

You may want to support this Enhancement to automatically merge the users in Bizx as this would mean the LMS admin would not need to manually merge the records after the candidate is hired.
