2404977 - Behavior of Form in Collaborative Step


1. If there are more than roles who are part of a Collaborative step in a form, "Currently With" field shows any random role and it is not based on the sequence in which the roles have been provided in the route map.

2. "Currently with" also does not depend on whether the form has been opened by a user or not.

This is Expected Behavior of the System.

The behavior when the form is routed to the collaborative step (c-step hereafter):

In this c-step, everyone has access to the form at the same time, and each person can complete their sections at their convenience. Once everyone included in the collaborative step have sent in their forms, the step is complete. The form content is consolidated into a single form, and the form moves to the next step.


"Currently With" field doesn't get affected regardless of whether the form is opened or not.

The label in the "Currently With" field is designed to  only one user, if it is in the route map's C-Step. The reason is that if this field displays all the current collaborative users (say, five plus  users or more), the  layout will be stretched to an unexpected size. It is also possible that the displaying user is  not the first user in the C-Step.

Also, the users in the C-Step get populated into a table randomly. "Currently with" is the last entry in the table when the form is not currently open with a person or role. But it will be populated with the name of the person currently working on the form. Hence, it cannot be determined as to which role will show up in "Currently with" as it is random population.
