2404559 - Email Notification: Document Due/Late Notification VS Step Due/Over Due Notification - Performance Management

Symptom

What's the difference between Document Due Notification, Document Late Notification, Step Due Notification, and Step Over Due Notification? How does the system decide when to send those notificatons basing on current configuration?

Resolution

Document Due and Document Late Notifications

Document Due notification will be sent to a user when the documents in his/her Inbox is approaching the FORM Due date.

Document Late notification will be sent to a user when the documents in his/her Inbox is already late for completion based on the FORM Due date

Document Due Notification & Document Late Notification can be set to ON/OFF for each form template seperately.

With Document Due Notification & Document Late Notification enabled via Admin Center > E-Mail Notification Templates Settings, they can still be disabled for only one/several particular PM forms via Admin Center > Form Template Settings, by these 2 settings:

Disable Due Notification = ON (checked), Document Due Notification will be disabled for the particular form template.

Disable Late Notification = ON (checked), Document Late Notification will be disabled for the particular form template.

Step Due and Step Over Due Notifications

Step Due notification will be sent to a user when a document in his/her inbox is approaching the ROUTE STEP Due date.

Step Over Due notification will be sent to a user when a document in his/her inbox passed the ROUTE STEP Due date.

Step Due Notification and Step Over Due Notification can only be turned on/off under instance scope, this is because one route map can be used for multiple forms at the same time.

They can be enabled/disabled via Admin Center > E-Mail Notification Templates Settings:

Step Due Notification = OFF (unchecked), Step Due Notification will be disabled for ALL templates

Step Over Due Notification = OFF (unchecked), Step Over Due Notification will be disabled for ALL templates.

 

Q: How does system decide when to send out those document/step-due/late notifications to end user?

A: There are Default Due Notification Date (in days)  &  Default Late Notification Date (in days) configuration via Admin Center > Form Template Settings for each PM template.

Document Due Notification is sent out before Default Due Notification Date (in days) of Form Due Date.

Document Late Notification is sent out after Default Late Notification Date (in days) of Form Due Date.

For the Step Due and Over Due notification when enabled:

Step Due Notification is sent out before Default Due Notification Date (in days) of Step Due Date.

Step Over Due Notification is sent out after Default Late Notification Date (in days) of Step Due Date.
