2355770 - Training Planner questions

Symptom

1/ In EC they have a very details org structures they want to replicate in LMS but they seem limited to ORG/ SUB ORG

EC has:

  • company
  • building
  • location
  • cost center
  • division
  • management org
  • site
  • department
  • team

=> can the LMS be synched to replicate those levels?

2/ Budget planning management:

In France, companies receive government funds for employee training and therefore they would need to have different budgets that the training manager can choose from to submit requests for the same training period.

However the LMS is not allowing that more than one training period at a time => is there a way around this?

They should also be able to request trainings outside of the training periods and this should be easily identifiable for the training planner => can this be done?

Current: Request outside of plan is possible but cannot be tracked on the training planner or any reports

Note that these requests should not impact the current budget

 

3/ Adjusting budgets and requests

An employee makes a request (approved) at the end of a budget and changes org

The customer would like them to be on the next budget

Could we transfer the request from user to the other so we do not loose the approved request?

And if I request a new training in the new org (that I joined outside training period), could my request be approved and transferred to the next year or outside training period?

What happens when a user has an approved request and changes organization

=> is the request maintained/cancelled

Can it be transferred to the new person taking on after me (so the approved budget for this training is not lost)

 

4/ Cost and cost gaps management

Scenario 1:

a user is enrolled for a training with associated cost. This cost is amended.

=> what happens for users already enrolled?

Scenario 2:

a user is enrolled for a training with associated cost, the training manager decides to change the training cost after the budget was already approved

=> how is this cost change reflected in the budget?

=> if a training request is submitted outside of the training period how is this accounted for (is it reflected in the planned vs actual stats)?

=> in reference to the request in point #2 for different budget during the same training period (provided this can be achieved) how would this be reflected in the planned budget? Would we see the detail of each budget or would all budgets be cumulated in one planned budget figure with no distinction?

5/ Training requests breakdown male/female

It is an obligation by law in France to provide equal training opportunity to all employees and therefore they will need to be able to make stats on the training requests submitted by male/female employees and they would need to know how to set this up in LMS.

6/ Is the training planner including any training costs like material, instructor, facility?

7/ Training planner does not allow to have visual request/costs details per departments within an organization

=> can this be improved or customized?

8/ Can the view be modified for the Training Planner?9/ The comment entered by the administrator when it rejects a request, how the manager or user can see this comment?

Resolution

1/ In EC they have a very details org structures they want to replicate in LMS but they seem limited to ORG/ SUB ORG

LMS can only replicate org / suborg relationships

has multiple enhancements request for TP, one of them is the multiple training period for different budgets

if the users organization changes and the request had previously been submitted by the supervisor and Training Manager reviewed the budget, then the request would be visible in the original organization.

If the budget for that budget period had not been reviewed, then the request would appear in the new organization and the amount would be included in the "Amount Requested" for the new organization as well as the Training Planner report. The training manager can reject requests for limit the seats granted.

For Scenario 2, requests in training request period for an inactive user do not accumulate in any organization.

 

4/ Cost and cost gaps management

Transfer of approved training requests are not supported. A training manager could reject a request and create an org request.If the the cost was amended in the learning event, the "actual vs projected costs" report will reflect the change.

Price changes AFTER the budget is approved are NOT reflected on training planner. All new training requests created after a price change will reflect the most recent price in the training planner.

 

5/ Training requests breakdown male/female

The training manager can export all requests to a csv which has a column for gender that is taken from the users profile information for government reporting.

TIP: To download requests, make sure the following 2 prerequisites :

The role assigned to the user who is training manager contains the workflow "Export Training Request Data"

6/ Is the training planner including any training costs like material, instructor, facility?

 No. Training costs are part of record learning process, not training planner. Training planner does allow capture of estimated costs of external courses.

 

7/ Training planner does not allow to have visual request/costs details per departments within an organization

Organizations can be in a hierarchy so you can consider creating departments as a sub organization.

 

8/ Can the view be modified for the Training Planner?

Modify the view of the administrator this is not possible at the moment, this would be a good enhancement request to product management. But the Training Manager view can be exported to .csv report for review.

 

9/ The comment entered by the administrator when it rejects a request, how the manager or user can see this comment?

If it is rejected by the Supervisor it will be the Training Needs rejected by Supervisor template, if the training it is rejected by the Organization Owner the Training Needs Rejected by Org Owner will be the template used. Also the supervisor rejected courses are still visible but in separate section.
