Symptom

How to allow Employee OR Manager to request Feedback on their Achievements from Peers.

Environment

  • Continuous Performance Management
  • Performance Management v12 Acceleration

Resolution

There are two primary role-based permissions associated with Requesting Feedback on Achievements:

1. Permission to Request Feedback on Achievements – grants permission to user to request feedback on the achievement.

2. Permission to View Feedback on Achievements – grants permission to view feedback on achievements. If the permission to request feedback is enabled, you must enable View Feedback permission as well.

How to permission if you want to give Employee rights to request/view feedback:

 

You must now select to whom you wish to grant these permissions:

1. Under “Grant this role to…” click “Add”

2. Grant the Role to “Everyone” –as this will grant the role to all employees

3. Next, you need to specify the target population whom the above granted users have permission to access. Select “Target Population of” and choose “Granted User (Self).”

 - This is ensuring that it’s only granting permission for the employee to view their own feedback data and not the data of other employees.

4. Click “Done”

 

You have now successfully created a role that allows employees to request and read feedback. Next, you need to establish permission for the manager

How to permission to grant Manager rights to view & edit activities and achievements: 

 

1. Under “Grant this role to…” click “Add”

2. Grant the Role to “Managers” –as this will grant the role to all managers

3. Next, you need to specify the target population whom the above granted users have permission to access. Select “Target Population of” and choose “Granted User’s Direct Reports.”

   - This is ensuring that it’s only granting permission for the manager to view feedback of their direct reports.

4. Click “Done”

You have now successfully created a role that allows managers the ability to request and view feedback on behalf of the employee.

Email Configuration:

 

As noted, when a request for feedback is initiated, the user being asked to provide feedback can receive an email. This requires the following configuration:

 

Step 1: Enable Intelligent Service

(Email notification uses the Intelligent Services event framework to recognize the creation of a feedback request. Therefore, customers wanting to use Achievement feedback creation notification need to have Intelligent services enabled in their instance. The To-do entry point for users on the home page is not dependent on the Intelligent Services provisioning switch.)

Step 2: Navigate to Admin Center > Company Settings > Email Notification Template Settings and enable “Achievement Feedback Request Notification”

This is disabled by default.

Users may modify the default email subject/body if necessary. NOTE: (Email setting page is owned by platform, and due to its limitation, “Specify Different Template for Each Form” will always display even it is unnecessary. This specific setting could be ignored.)

Frequently Asked Questions: 

 

Can we only allow the employee or manager to have feedback request permissions?

Yes. With the permission above, you can choose who is granted permissions to request feedback on achievements.

 

Can we request feedback from people external to the organization?

Not at this time. The request feedback functionality currently supports requesting feedback only from those users within your organization.

 

Can we request feedback from anyone within our organization?

Yes. You may request feedback from any active user in your instance today.

 

Do we need to grant these permissions to everyone within the organization that might need to provide feedback?

No. If someone is asked to provide feedback, they do not require either of these permissions to provide feedback to the requestor. Nor do they require any specific CPM related permissions.

 

Permission to View Feedback on Achievements

Grants permission to view feedback on achievements. If the permission to request feedback is enabled, you must enable View Feedback permission as well.

 

Why do you have separate Continuous Performance Management permission categories under User Permissions?

The existing category ‘Continuous Performance management” was created for configuring RBP permission for CPM MDF entities (Activity, OtherTopic, Achievement). Due to limitation from MDF-RBP framework, we cannot add standard RBP permissions under this category. Therefore, we have created new category ‘Continuous Performance User Permission’ which will host other non-mdf-entity RBP permissions. Additionally, we have also moved ‘Access to Continuous Performance Management’ to this user category (from admin permissions).
