2312869 - Frequently Asked Questions on Migration and its Processes

Below are a few commonly asked questions and their answers on Migration.

Resolution

Migration:

It's a tool which helps to migrate the data from the legacy system to the ByD/C4C system. This will be performed in the form XML (Microsoft Excel). With SAP delivered Migration template, user can fill the data and import it into the system. There are multiple processes during the migration:

  1. Validation
  2. Convert Values
  3. Simulation
  4. Execute Import

Question 1: Migration modes missing for some migration objects

Answer: The different migration modes are as follows

  1. Add New Records
  2. Enhance Already Existing Records
  3. Modify Already Existing Records
  4. Replace Already Existing Records

These migration modes are specific to certain Migration objects.

Example: Migration of Competitor Products only has the migration mode Add New Records and migration objects which have all the migration modes are Migration of Customers, Migration of Installed Base etc.

 

Question 2: Migrating attachment using migration tool

Answer: The attachment will not be physically migrated in Cloud for Customer system using the migration tool. It will only create a link to the URL.

Alternatively, you can try using Data Workbench work center for migrating physical attachement

 

Question 3: How to migrate Marketing Leads using the migration tool?

Answer: You can migrate Marketing Leads by following the below steps

  1. Navigate to Business Configuration work center
  2. Select Overview view
  3. Search for Migration of Leads
  4. Click Migrate leads using the migration tool
  5. Click You Can Also
  6. Select Download Migration Template
  7. Fill the data in the template
  8. Select Upload
  9. Execute Step by Step Migration

 

Question 4: How to export all the value conversion for the completed migration files?

Answer: To export the value conversion for all the completed files, you can follow the below steps

  1. Navigate to Business Configuration work center
  2. Select Overview view
  3. Search for migration of any object
  4. Change selection to Completed
  5. Click You Can Also
  6. Select Export Value Conversion to File

 

Question 5:  How to adapt new extension fields into migration template?

Answer: To adapt new extension fields into the migration template please follow the below steps

  1. Navigate to Business Configuration work center
  2. Select Overview view
  3. Search for migration of any object
  4. Click You Can Also
  5. Select Adapt Migration Object

 

Question 6: Why is the migration tool not returning all error messages? For example: there are 10 erroneous records, but only 3 errors are displayed in the migration UI.

Answer: If you are using the option Import Data Immediately, the migration tool will display the total number of erroneous records, but only errors that occurred in the step 4 of the migration process.

 

Question 7: Is it possible to extend the length of fields in the Migration Template?

Answer: No. If you need to enter values that are bigger than the length in the template, you can later use value conversion for some fields to map to the correct values in the system.

 

Question 8: What are the file formats supported by the Migration tool?

Answer: XML, ZIP, CSV and TXT only.

 

Question 9: Which work center assignment is required for Data Migration access?

Answer: In order to have access to the Data Migration activity, the Business configuration work center assignment to the user is must. This works as the base. Further individual Migration object access can be assigned as per requirement.

 

Question 10: It is possible to delete Material Sales Note via the Migration of Materials activity?

Answer:  Mass deletion of notes is not supported using Migration tool. The only option is to delete or modify the sales notes manually.

 

Question 11: Why the Account ID generated by the system after migration is different from the ID provided in the Migration Template?

Answer: When you go second step of migration process "Convert Values", you can find the task called "Review Settings for Number Assignment for Customer IDs".  There are two options to choose,

  1. "New numbers taken by migration service"
    • In this case, when you provide a customer ID in the migration template, system generates the ID as per the current number range.
  2. “Keep Legacy ID”
    • In this case, the ID provided in the migration template will remain as Account ID

The same concept applies for Supplier ID

 

Question 12: How to find the value conversion?

Answer: There are two ways to find the value conversion or mapping performed in Convert Values step. They are,

Option 1:

  1. Select a Completed file
  2. Select Actions button
  3. Choose Download Value Conversion

Option 2:

  1. Go to respective migration screen
  2. Select You Can Also
  3. Choose Export value conversion to file

 

Question 13: Which Customer ID should be used while migrating dependent data of Customer?

Answer: Let’s take an Example that Account ID provided in the migration template is XYZ and System generated ID is ABC. Below are some of the use case,

Migration: Use Source ID
MDM: Use new ID

 

Question 14: Unable to upload file for migration due to error messages related to Mandatory field or key field missing

Answer: There could multiple reason which may lead to this error,

  1. Values are missing in Key Field
  2. Mandatory values are missing
  3. Dependent values are missing
  4. In a particular row, some value is entered but no entries in the key fields

 

Question 15: In the Migration File the length of the fields has two values. What does the one in the bracket stand for?
Example:
Field Name Importance Type Length
Material Description mandatory for sheet Text 40(80)?

Answer: The length 40(80) means you can enter up to 80 characters, which will be shorten to 40 characters during value conversion when you are processing the file in the Migration Tool. You can see this and other information in the Introduction tab of the migration template, under Fields.
