2267980 - Which Settings Control What Ratings Appear in the Employee Profile Portlets? - Talent Profile

Symptom

This KB article provides information on which settings control what ratings appear in the Employee Profile portlets

Environment

  • SAP SuccessFactors Employee Profile
  • SAP SuccessFactors Performance Management
  • SAP SuccessFactors Calibration

Resolution

Whether the ratings will appear or not in the Employee Profile depend on (1) the different types of portlets and (2) the different sources that a rating can have. Description of each portlet type and the settings that affect each rating source, is available below:

Different Portlet Types

In the SuccessFactors application, there are standard system portlets used to display/add/edit/remove the ratings of the employees. These portlets are categorized in Trend Portlets and Scorecard Portlets. The main difference between the portlet types is that the Trend Portlets are not affected by the Scorecard process and date range, whereas the Scorecard Portlets are affected by the Scorecard process and date range. Please see below the description of each portlet type:

  • Trend portlets (Overall Performance, Overall Potential, Overall Objective, Overall Competency): These portlets are not affected by the Scorecard process. Therefore, they display all ratings for the user. They display as background elements in the Employee Profile, with multiple records for each user. The following portlets are included: sysOverallPerformance, sysOverallPotential, sysOverallObjective, sysOverallCompetency, sysOverallCustom1, sysOverallCustom2

  • Scorecard portlets: This section refers to portlets that are controlled by the Scorecard Process and Date Range, listed in KB article 2172442. These portlets will only retrieve the ratings that are within the Process, Date Range and settings defined in Rating Sources from Scorecards. You can find these settings under Admin Center > Employee Files > Configure Employee Files for v12 Employee Profile and Admin Center > Employee Files > Configure People Profile > General Settings for the People Profile:

    • Date range: only ratings that are within the defined date range are retrieved

    • Process: Defines from which Performance Forms, Succession Data and Goal Plans ratings will be retrieved. If “All data sources” is selected, all ratings are retrieved. If other process is selected, you will need to access the process configuration under Admin Center > Reporting > Processes and Forms to understand what rating sources will be used

    • Include In-Progress Forms: Defines whether ratings from in-progress forms will be retrieved or not

Note: The ratings displayed in Scorecard portlets will be normalized to the rating scale that is configured for the Scorecard process

Settings by Rating Source

The settings that affect whether ratings will display or not in the Employee Profile depend on the source of the rating. Please see below the settings that affect each rating source.

Performance Management ratings

This section refers to the settings that determine if ratings from Performance Forms will appear in the Talent Profile (Employee Profile) or not.

  • Trend portlets (Overall Performance, Potential, Objective, Competency): These portlets are not affected by the Scorecard process. Therefore, all ratings coming from completed Performance Forms will appear on them. Additionally, it is possible to include ratings from In-Progress Forms by enabling the "Show in-progress form ratings in live profile" option in the back-end. Kindly engage your partner or reach out to Product Support for assistance on that.

  • Scorecard portlets (listed in KB article 2172442): Only ratings from Performance Forms that are included in the Scorecard Process and within the date range defined for the Scorecard will be retrieved. Additionally, if option “Include In-Progress Forms” is enabled, ratings from in-progress forms will be retrieved

Calibration Ratings

This section refers to the settings that determine if ratings from Calibration Sessions will appear in the Talent Profile (Employee Profile) or not. Refer to KB article 2162067 for information on how Employee Profile ratings behave when being calibrated

  • Settings that apply to both Trend portlets (Overall Performance, Potential, Objective, Competency) and Scorecard portlets (listed in KB article 2172442): The Calibration Template must have "Used in Talent Profile" enabled (Admin Center > Calibration > Calibration Templates). For In-progress Calibration ratings to appear in the Live Profile (for both Trend and Scorecard portlets):

    • "Show In-Progress Calibration Ratings In Live Profile" must be enabled (Admin Center > Calibration > Manage Calibration Settings > Global Settings)

  • Scorecard portlets: For Calibration ratings to appear in the Scorecard portlets:

    • The respective trend information should be added to the process used by the Scorecard. Admin Center > Reporting > Processes and Forms > select the process used by the Scorecard > verify if the respective trend element has been added to the process under "Succession Data"

    • The ratings should be within the Date Range defined for the Scorecard

Self Service (Live Profile)/Import/Scorecard Ratings

This section refers to the settings that determine if ratings with source Self Service, Import and Scorecard will appear in the Talent Profile (Employee Profile) or not

  • Trend portlets (Overall Performance, Potential, Objective, Competency): These portlets are not affected by the Scorecard process. Therefore, they will display all ratings coming from Self Service (Live Profile), Import or Scorecard

  • Scorecard portlets: For Self Service (Live Profile)/Import/Scorecard ratings to appear in the Scorecard portlets:

    • The respective trend information should be added to the process used by the Scorecard. Admin Center > Reporting > Processes and Forms > select the process used by the Scorecard > verify if the respective trend element has been added to the process under "Succession Data"

    • The ratings should be within the Date Range defined for the Scorecard
