2242091 - iContent Storage Space Utilization/Allocation

Symptom

  • How to know the iContent storage space availability.
  • How to use FTP client to identify storage size.
  • How much space is a folder occupying in the SFTP?

Resolution

  • Initially iContent is provided with 25GB of free space. See KBA 2416189 for more details.
  • See the Note Section below for more info.
  • Use an FTP client that supports recursive directory listing to calculate how much iContent account storage space is utilized.
  • In the below example scenarios, FTP clients used is Filezilla and WinSCP which are third party products unrelated to SAP:

Gather the following information to use the FTP Client: The Hostname, Username, Password of the iContent account.

    • If you have a deployment Location configured in your LMS instance:
      1. Find this by accessing Learning Administration > Configuration > Content Deployment Locations
      2. Perform an empty search
      3. Open the one that is used to import content into the Learning system
      4. Find the Hostname, Username, Port Number (22)
      5. Note: the password is masked. SAP does not store the iContent SFTP password in clear text for security reasons. In case your internal contacts do not have the password, please follow KBA 2381395
    •  If you do not have a deployment Location configured in your LMS instance:
      • Please check the email that is sent when iContent is provisioned for the LMS system
      • It contains the hostname, username and password
      • The port number is 22.

In FileZilla:

  1. Press ctrl + A on your keyboard to select all folders and files
  2. Right-click on the selection
  3. Click the “Add files to queue” option to scan all folders/subfolders.
  4. The total storage usage would be displayed on the bottom-right corner of the window (ex. "Queue: ")

In WinSCP:

  1. Press ctrl + A on your keyboard to select all folders and files
  2. Press the F9 key on your keyboard
  3. Click the "calculate" button (see screenshot below) to scan all folders/subfolders
  4. The total storage usage would be displayed on the "Size:" section on the same window.

Note:

  • iContent Contract: Unless your contractual agreement includes Premium Content Management Services as an additional service, the iContent storage assigned to your LMS environment(s) is a self-managed account, which means that each customer is responsible for managing it. Hence, please consult with your IT team for assistance with using an FTP client to complete managerial tasks (such as the one on this KBA). If you are unsure about your iContent contract, then you may consult with your SAP/SF representative (e.g. CSM, CEE, and etc.) for confirmation.
  • 3rd Party Software: FTP clients (e.g. Filezilla & WinSCP) are third-party software and are only used as a guide for customers to get to the iContent space. SAP does not provide support for these products.
  • Allocation: If total space allocated to your SFTP is required, there is no imposed restriction. The SFTP account can continue to upload and go over the limit but will be charged for going over. Please contact your SAP Customer Success Manager or SAP Account Executive for more information, such as checking contractually how much SFTP space was purchased or to purchase more space.
