This KBA describes where to setup the reminder notification for user to complete a course when the due date is approaching. This is the Expiration Notification Automatic Process.
To setup this Learning Expiration Notification, please navigate to System Admin > Automatic Processes > Learning Expiration.
On this page, you can schedule the process and change the Notification Defaults (days before / after the notification will be send prior/after to the due date to reminder the user).
Please find below a screenshot as a reference.
- The Threshold field determines when it will start sending the Expiration Notification. In other words, the automatic process sends notifications when it finds an item or curriculum for a user where the number of days left to the required date for the item or the next action date for the curriculum is less than the number of days in the Threshold field.
- The Reminder field determines the recurrence of this reminder. In other words, it will send the first email triggered by the Threshold value and then again every number of days determined in the Reminder field. This will continue to be done with the Overdue notification in case the item is not completed by the User.
In addition, please note that you can override these settings at the item level (on the item record, click on More > Notifications > check the ‘Override Learning Expiration Notification Defaults’ session). If you did not customize at the item level, then it will assume the global configuration set on the Expiration Notification, as described previously.
Please notice that you cannot override the Expiration and Overdue Notification Templates at the item level, just the settings about Email Recipients, Threshold and Reminder Period.
