2230818 - Ratings in Adhoc Report are not being populated once inactive user forms are deleted - Performance Management

Symptom

  • Completed Date and Ratings are not pulling up on the adhoc report for the deleted forms of active/inactive users.
  • How to extract data like ratings, completed date etc for the deleted forms of active/inactive users?

Environment

  • SAP Successfactors Performance Management
  • SAP Successfactors HXM Suite

Reproducing the Issue

  1. Create Forms for a subject.
  2. Route the Form to the completed stage or just keep it in In- Progress with Ratings filled.
  3. Change the Subject to Inactive.
  4. Generate Ad Hoc report of the Form ---> Observe that the Form Content like the Ratings Information are displayed in the Report.
  5. Delete the Form through Admin Tools -> Delete Documents.
  6. Generate Ad Hoc report for the Form again ---> Observe that the Form Content like the Ratings Information have disappeared from the Report.

Cause

When you delete a document, the content from the FEEDBACK table is deleted.

The rating information comes from FEEDBACK table, hence you would not see the data in the adhoc report.

Resolution

We can use the Detailed Document search to generate the report for the deleted form of active and inactive users.There is no seperate option to generate the report only for inative users in detailed document search.

The Data in Detailed Document Search report comes from form data table & we have a flag in the table to identify whether the form is deleted or not.The form data is  still saved in the table if the form is deleted, so the deleted form's rating are reportable in Detailed Document Search report.

If we need only the ratings data for deleted foms for inactive users,we should first generate an adhoc report for deleted forms in which ratings data is missing.Later we would generate another report using Detailed documnet search which has all the information like ratings,completion date etc for deleted forms of active and inactive users.

Then we can use option like vlookup to get the ratings for the deleted forms in the adhoc report
