  • Can internal candidates be anonymized using DRM 2.0?
  • I set up Candidate purging routine, but the internal candidate profiles were not anonymized.


Recruiting Management


The internal candidate profile can be anonymized only along with the user purge routine.



1. DPCS 2.0

2. DRM 2.0

3. Provisioning > Data Retention Management enabled

4. Anonymization scheduled job set up in Provisioning

5. Candidate Profile template with anonymize="true" fields

NOTE: If the value in Admin Tools> "Configure Legal Minimum Obligation Period" is set to more than 0, the Candidate Profile of Internal Candidates will be anonymized after the obligation period is expired (counting from the day, the User was purged)

User purge routine:


Non-RBP: Admin tools -> Manage Administrative Privileges -> Manage Data Purge:

    • Create Data Purge Request;
    • Approve Data Purge Request;


RBP: Manage Permission Roles -> Manage User Data:

  • Create Data Purge Request;
  • Approve Data Purge Request;


Solution – Setting User Purge Rule

  1. Admin Tools -> Company Settings -> Data Management;
  2. Create New Purge Rule;
  3. “What do you want to do with your data” -> Purge Inactive User;
  4. Name the Purge Request appropriately;
  5. Select the purge settings. You can either:
  • Select a single user


  • Select multiple user


  • Upload a list of users (by user id):

6. You can also select which users should be excluded from the purge routine (using criteria from multiple BizX Modules), if you purge more than one user:


7. You can either:

  • Save the purge rule – it will be then always accessible when navigating to Admin Tools > Data Management, but doesn’t launch the purge rule itself


  • Schedule the purge rule – it will appeare in Admin Tools > Maintenance Monitor > Scheduled Requests and will enable recurring pattern for the schedule job:



  • Launch Now – will run the purge rule once, but won’t appear in Admin Tools > Data Management anymore

8. Select user who will approve the purge routine:


Scheduled Job

  1. A job will be scheduled in Quartz to show all potential users for the purge routine.


Approving the purging rule


1. Approvers will find the purging routine in Admin Tools > Maintenence Monitor

2. From here, they can accept the User purge and download a report with the purge results:

Scheduled Job

  1. A job will be scheduled in Quartz to purge the users.
  2. Once the RCM Entity Anonymization job runs, the Internal Candidate Profiles for the purge users will be anonymized.
