STEPS

 

1.       Time Account Type

Admin Tools->Manage Time Off Structures->Create Time Account Type

Create Time Account Type as below:

  • Add the External name and code for the Time Account Type
  • Make sure the ‘Unit’ is in Hour(s)/Day(s) according to the requirement.
  • Add the ‘Hire Rule’ and ‘Termination Rule’ which is a business rule to determine the accrual of leaves according to the employee’s hire date or termination date.
  • ‘Accrual Frequency Period’  can be Annually, Monthly, Weekly, Daily etc.
  • ‘Account Creation Start Date’to “Account Valid From (Day or Month) for the  Time Account Type” (This will create the Time Account from the start of the Calendar Year i.e from January to December).
  • The field ‘Account Booking Offset[Months]’ is to configure the Bookable Until/Booking Possible Until of the time Account.(Please find the example screenshots below)

Eg:

a) if you give the value in this field as ‘-6’.Then the Booking Possible Until will be till 6 months before the validity of the account(Account Valid Until date).

i.e   Account Valid From : 01/01/2015

        Account Valid Until : 12/31/2015

        Booking Possible From : 01/01/2015

Booking Possible Until : 06/31/2015 (i.e 6 months minus the Account Valid Until date)

i.e if you want the booking to be possible only till June 2015, then give -6 as the value.

 

b) if you give the value in this field as ‘-2’.Then the Booking Possible Until will be till 2 months before the validity of the account(Account Valid Until date).

i.e   Account Valid From : 01/01/2015

        Account Valid Until: 12/31/2015

        Booking Possible From: 01/01/2015

Booking Possible Until: 10/31/2015 (i.e 2 months minus the Account Valid Until date)

  2.       Time Type

Admin Tools->Manage Time Off Structures->Create Time Type

  • Add the External Name and External Code for the Time Tye.
  • Add the ‘Time Account Posting Rule’ which is the one we created in step 1.
  • Configure the workflow in ‘Workflow Configuration’, according to the required workflow to be triggered.
  • Add the ‘Unit’ same as the one entered for the Time Account Type.

3.        Time Profile

Admin Tools->Manage Time Off Structures->Time Profile

  • Create a new Time Profile/Add the Time Type created in step 2 to the already created Time Profile.
  • We cannot delete the old Time Type if it is already assigned to employees.

4.  Add the Time Profile (created in step 3) to the Employee’s Time Profile field in Job Information Portlet.

 5.       Run Calendar

Admin Tools->Manage Time Off Calendar->Account Creation->New Calendar

  • ‘Start Date’ and ‘End Date’ – To define the validity of the Account(Please find the example screenshots below)
  •  Select the Time Account Type
  •  Simulate
  •  If Simulation successful, then Run.

NOTE: Always ‘Simulate’ to check for any error, before running the Calendar
