This article explains how to act as a proxy for users and an overview and steps on how to do it. The Proxy feature allows you to grant another user access to your account so that they can work in the account on your behalf. From the Proxy page, you can assign a user as a Proxy, or assume the Proxy role for an assigned account.

What's a Proxy?

  • A Proxy is a delegated authorized user in the system. The person who wants to grant another user access to their account is called the Account Holder. The person who is given access to an account is called the Proxy.

     Important considerations before assigning a Proxy:

  • You can assign multiple people as Proxies to your account. If you have more than one person as a Proxy, (theoretically) all of the Proxies can access your account at the same time.
  • The person you want to assign as your Proxy must also be a current user.
  • Your Proxy will remain assigned to your account until you remove them.
  • Your Proxy will gain full access to the modules that are defined via proxy management or Proxy import.
  • The audit trail that automatically accompanies any action taken will clearly state that the action was taken by a Proxy. 

PRE-REQUISITES

  • Administrators have allowed you to assign your own proxy.
  • You have Company Info Access and User Search permission so you can look up a person to assign as your proxy.

ASSIGN A PROXY

From the top right tool links, click Options.

  1. From the left menu, click Proxy.
  2. Click the Assign Proxy link.
  3. In the Proxy field, enter the username of the person whom you want to assign as the Proxy.
    • Important: You must enter the person's username; not their first or last name. If you don't know the user's username, click the Find User link to search for the person and look up their username. Usernames are case-sensitive.
    • Optional: If you have private goals to which you want the Proxy to gain access, select the Grant access to private goals checkbox; otherwise, all private goals will remain accessible only by you.
  4. Click Save.
  5. At the confirmation message, click OK to continue.
  6. The page refreshes and displays a list of the Proxies added to your account.

Optional: To add another person as a Proxy, select the Add a Proxy option, then repeat steps 4-7.

REMOVE A PROXY

You must already have existing Proxies assigned to your account before you can remove them.

  1. From the top right tool links, click Options.
  2. From the left menu, click Proxy.
  3. Click the Assign Proxy link.
    The page displays a list of the Proxies for your account.
  4. Select the person you want to remove.
  5. From the Delete field, click .
  6. In the confirmation message, click OK to continue.
  7. The Proxy is removed from your account.

ACTING AS A PROXY

  • If someone has assigned you as a Proxy, you'll see a Proxy Now link on the Account Navigation button, and you can assume the Proxy role at any time. If no one has assigned you as a Proxy, you won't see a Proxy Now link on your page.

To act as a Proxy:

  1. From the top right tool links, click Options.
  2. From the left menu, click Proxy.
  3. Click the Become Proxy link.
    The page displays a list of the Proxies for your account.
  4. Select the person you want to proxy as.
  5. Click Go.

When do you use Proxies?

  • You might want to use a Proxy if you're going to be unavailable or absent when your tasks are due and you don't want to miss the deadline.
  • When you assign a Proxy, that person gains access to all of your pending tasks, such as in-progress forms and Goal Plans, and can work with them exactly like you would. For example, by changing information and sending forms. However, the audit trail that accompanies each action will clearly state that the actions were performed by a Proxy. In this way, you can easily keep track of the work done. For example, the audit trail might state: Routed by Jane Anderson for Bob Smith.
