Symptom

  • What is Mass Create Group Permission?

Environment

  • BizX Platform

Resolution

  • Available from Admin Tools > Manage Security > Mass Create Group Permission.
     
    This feature is not dynamic so needs regular administrative maintenance if not enabled under Default User Permission. As you get new hires or terminations you will need to add or remove them to the groups to ensure they received forms if you are going to use the Mass Create Form permission per template.
     
     
     
  • To prevent unnecessary extra effort and management of this feature we recommend you simply enable this via Default User Permission > Mass Create Group Permission. This will ensure that by default everyone will always get forms including new hires when you mass create forms, which is almost always what administrators will need.

 

  • Use this page to grant and remove mass create group privilege for system users. Users without mass create group permission for a form template will not have new document created for them during Mass Create process based on this permission.

 

Defining Who Has Permission to Receive Mass-Created Forms

  • Before mass-creating a form, you can define who should receive that form. To do this, you grant the mass-create permission to employees who should receive that form. For example, if you grant one employee the mass-create permission, then only that employee receives the form when you mass-create it. privileges
     
     
  • You can also use this feature to prevent employee s from receiving a mass-created form. To do this, you revoke the mass-create permission. For example, if you want to mass-create a form for all but two people in a department, you can revoke the mass-create permission from those two employees. In this case, when you send the mass-created form to the department, the two people whose permissions you revoked will not receive the form.

 

How do you know who has permission to recieve a form?

 

  1. In the Manage Security section, click Mass Create Group Permission.
    The Mass Create Group Permission page opens.

  2. Click Manage mass create permission security through individual users.

  3. From the Choose a Form dropdown menu, select the form you want.

  4. Click Search Users.

  1. In search results, note the following icons in the Mass Create Permission column:
     

    = Is a subject of this form
    = Isn't a subject of this form

 

What do you want to do?

  • Define the permission to receive mass-created forms for a single employee.
  1. In the Manage Security section, click Mass Create Group Permission.
    The Mass Create Group Privilege page opens.

  2. Click Manage mass create permission security through individual users.

  3. From the Choose a Form dropdown menu, select the form for which you want to define subjects.

  4. Search for the user that you want to be a subject of the selected form.

  1. In search results, select the checkbox of the user whose status you want to change.

Tip Note the following icons in the Mass Create Permission column.


= User is a subject of this form
= User isn't a subject of this form

  1. Do one of the following:

 

  • To select the user as a subject of the selected form, click Grant Mass Create Permission.

  • To no longer include the user as a subject of the selected form, click Revoke Mass Create Permission.

 

Your changes are saved and you'll see a confirmation message at the top of the page.

 

  • Define the permission to receive mass-created forms for multiple employees at a time.

 

  1. In the Manage Security section, click Mass Create Group Permission.
    The Mass Create Group Privilege page opens.

  2. If it’s not already selected, click Manage mass create permission security through group of users.

  3. From the Choose a Form dropdown menu, select the form for which you want to define subjects.

  4. Search for the users that you want to be the subjects of the selected form.

  1. Do one of the following:

  • To select the users as subjects in the selected form, click Grant Mass Create Permission.

  • To no longer include these users as subjects in the selected form, click Revoke Mass Create Permission.

Your changes are saved and you'll see a confirmation message at the top of the page.
