When a recruiting user reviews a candidate, they may wish to share that candidate with another user. This functionality allows the recruiting user to click the Forward to Colleague button on the search results, candidate profile record, or application record pages. Candidate forwarding to a colleague may be restricted based on the Candidate Visibility settings for that candidate profile (If you have issues finding users when using this feature, please review: 2149220).

The Forward To Colleague button produces a dialogue box where the recruiting user can select a single recipient and add some explanatory text. The recipient receives an e-mail notification with the candidate’s name and the explanatory text. Optionally, the client can choose to enable the user to select the resume and cover letter as attachments to the e-mail notification. As this is just an e-mail feature, there is no way to tell if a candidate has been forwarded to a colleague, either from the candidate's profile, or from an audit trail.

Please note that recipients will only be searchable by either their first name or last name only. It is currently not possible to search for them via their email address.

Please note that forwarding a candidate from the Application page won't include the Resume and Cover Letter from the application, but the Resume and Cover Letter currently available in the Candidate Profile of the forwarded Candidate!

The default message text is not configurable. Only the resume and cover letter documents are supported as e-mail notification attachments. The attachments are included as a zip file and there are no other file type options.

Email Issues: Customer complaints on "forwarded to colleague" emails not being sent. We have noted that certain e-mail clients will not process e-mail containing ZIP files. Please ask the customer to consult with their IT team. Please ask to include list our e-mail address to allow ZIP files on emails to the users.

Resume and cover letter attachments will be sent in the original format. This will be the default behaviour and a newly introduced checkbox "send attachments as a zip" can be selected in case the user wants to send the attachment as a zip file.

NOTE:  This feature cannot be limited to certain users, the feature is either ON or OFF. It is also not possible to forward a candidate to multiple colleagues at once. However, an enhancement request has been created to change this behaviour. You can vote on the request here.

Please note that the "Attach Resume and Cover Letter" option will be enabled by default once the corresponding setting has been enabled in provisioning.
