2077876 - Manager Transfer - Name of Old and NewManager Appears on the Signature Section - Performance Management

Symptom

When forms are in signature step and there is a Manager Change using "Manage User" feature, and the new recipient rejects the form, the form displays the name of the old manager without signature when we do not want this.

Cause

Performed a manual Document Transfer change via Admin Tools > Update User Information > Manage User (This feature was designed for PE clients)

Manage User, and click the "OK" button on the displayed document transfer dialog, the behavior will insert a new manager as the next step, instead of replacing the old manager as you might expect.

This action will cause a new EM signature step to be added after the "current" EM sign step, and Form will routed to the new EM sign step automatically. The previous EM sign step will be auto-signed, as you can see on the screenshot below:

Resolution

To prevent the old EM signature info on the Form, when you change the EM, Enterprise clients should be using Employee Import files to make manager and user data changes:

  1. Admin Tools > Employee Import;
  2. Please DO NOT choose the first option "Automatic insertion of new manager as next document recipient if not already”;
  3. If you change Manager via employee import without “Insertion” option, only new EM will be listed on the signature section, as you can see on the screenshot below: without:

NOTE: The feature "Manage User" in admin tools is actually not a feature Enterprise clients should be using. This is a feature for PE clients, not enterprise clients. If you were a PE client and upgraded to enterprise or SPRAC, then SF should disable the Manage User feature so that you now manage user updates and manager transfers via Employee Import files or automated FTP imports.

Since enterprise clients manage data via employee imports or EC, changes made via Manage user can lead to data issues and conflicts since the automated process could undo the manual changes if they contain the old data.
