2077226 - Manage Templates - Display The Signature When the Step is Skipped - Performance Management

Symptom

  • Exploring options to display standard text so it is easy to identify when the signature step is skipped during a standard review process.
  • When we skip the signature step, there is no signature line in the form. How do we get the signature to show even if it is blank, if we skip the 'signature verification' step?

Environment

  • Performance Management

 

Resolution

  • This opt-in feature allows administrators to display an empty signature line in the signature section of a PMv11 form when the step is skipped. In the past, the instance would display no signature stage information. This feature provides clarity at a very critical stage of the performance management process.
  • To activate standard text to be inputted when the signature step is skipped, please find configuration steps below which should be made to each applicable form's template settings. Note: You also must have SPRAC or Enterprise editions with UI V11 or Revolution (V12) User Interfaces. 

 

Configuration Steps
Go to Admin Tools > Navigate to the relevant proper product icon and click 'Manage Templates'  > Click on relevant form > While on the form, select the 'General Settings' tab and click the 'Advanced Settings' hyperlink.

After clicking the hyperlink highlighted in the above screenshot, a pop up window will appear. Scroll down to the bottom of this pop-up window and click the box "Display the signature when the step is skipped".

Once activated using the steps detailed above, your form will state that the signature stage was skipped by a user with the text 'User XX skiped by User YY'.

The administrator can check the box labelled “Display the signature line when a signature step is skipped” on the form template from which the forms have been launched. The feature will insert the missing signature(s) dynamically. The default setting is OFF.

Please note: The feature behaves differently depending on which option is selected during the routing to completion process.

Below are several scenarios with resulting system behaviours:

 

Scenario A: PM template with "Display the signature line when a signature step is skipped" = unchecked/OFF

1. When routing a PM form "in signature step" to completion via Admin Tools > Route Document:

a. Move the form to a specific step (Completion) – then

b. Move form on behalf of step owner

This means that the step "owner"(i.e. with whom the document currently resides for action) will be signing on "behalf" of other signatories

System behaviour: fills in employee's signature when routed on behalf of manager + both signatures are displayed

2. When routing the PM form "in signature step" to completion via Admin Tools > Route Document:

a. Move the form to a specific step (Completion) - then

b. Skip step to continue the process (i.e. skips current step owner)

System behaviour: shows only employee's signature / (or) shows only manager's signature

(or) – if no one signs the form -

System behaviour: the word Signatory(ies) is displayed only

 

Scenario B: PM template with "Display the signature line when a signature step is skipped" = checked/ON (Opt-In)

1. When routing a PM form "in signature step" to completion via Admin Tools > Route Document:

a. Move the form to a specific step (Completion) - then

b. Move form on behalf of step owner (the step owner will be signing only)

System behaviour: shows manager's signature only plus employee's signature line is blank

(or)

System behaviour: shows employee's signature only plus manager's signature line is blank

2. When routing the PM form "in signature step" to completion via Admin Tools > Route Document:

a. Move the form to a specific step (Completion) - then

b. Skip step to continue the process
