2076603 - Manage Live Forms - Copy Text from Another Form Using Form History Feature - Performance Management

Symptom

  • Form History is a feature available for Performance Management forms. If you have existing historical  Performance Management forms about the same person stored in the system, you can pull up those historical forms and copy the text into your current form. For example, you can pull up Mary Smith's 2014 review form and copy the content to Mary Smith's 2015 review form.

  1. Enable/disable the Form History feature (admin)
  2. How to copy text automatically (end users)
  3. How to copy text manually (end users)

 

 

Activating this feature

Activating the feature can only be done by an administrator with sufficient privileges.

  1. Go to Admin tools > Form Templates & click on the name of the template
  2. Un-Check the box for the feature "Disable Form button" (to disable the feature check this box).
  3. Click Update Form Template

 

Using the feature

When a user views the form, they will now see a a yellow "Star" in the toolbar (version 10) or a Clock icon with an arrow on top (ULTRA), that when clicked brings up a window displaying historical forms to chose from.

 

Automatically copying text
  • If your forms are set up to automatically copy text, you'll see "Place Text" buttons throughout the historical form once you open it. Clicking any of these buttons automatically inserts the entire associated text block into your current form. Once the text is in your current form, you can edit it further.

 

Important considerations before you can automatically copy text
  • The current and historical review forms must be the same type. For example, you can copy from Annual Review 2005 to Annual Review 2006, but you can't copy from 90-Day Review 2005 to Annual Review 2006.
  • The current and historical review forms must be about the same person. For example, you can copy text from Mary Smith's 2005 review form to Mary Smith's 2006 review form, but you can't copy from Mary Smith's 2005 review form to Jane Adam's 2006 review form
  • The current and historical review forms must be active and stored in the system; meaning inactive forms can't be used.
  • You can only copy the text in Comment fields; all other content remains read-only.
  • You can only copy the comment text when the same competency or goal appears on both the current and historical forms. If the exact same competency or goal doesn't appear on both forms, the text reverts to read-only format.
  • You can only copy comment text that you wrote about the person. You can't copy text that another person wrote.

 

How to copy
  1. Open the form that you're currently working in.
  2. From the toolbar, click the yellow "Star" Icon or click on the Clock icon with an arrow on top (ULTRA)
  3. A popup window opens and displays an existing form.
  4. Optional: If the displayed form isn't the one you want to use, in the Document List area, click the name of the form you want.  The page refreshes and displays your selected form.
  5. Scroll down to the competency or goal you want. You'll see a "Place Text" button next to each comment in the section.
  6. Note If you don't see the "Place Text" button next to each comment area, then either one or more considerations weren't met, or the form isn't set up for automatic text copying. See the Considerations section above for more information. Additionally, you can try copying text manually.
  7. Click "Place Text" button
    You won't get confirmation message and the popup window remains open, but the text is added to your current form. You can always edit the copied text in your current form.
  8. You can repeat the steps to add more text.

 

Manually copying text

By default, all the content in a historical form is in read-only format; however, you can always highlight any text on the form and copy it to your current form. Manually copying text gives you the flexibility of selecting only the text you want.

Manually copying text from another review form
  1. Open the form that you're currently working in.
  2. From the toolbar, click the yellow "star" icon.
  3. A popup window opens and displays a historical (completed) form.
  4. Optional: If the displayed form isn't the one you want to use, in the Document List area, click the name of the form you want.  The page refreshes and displays your selected form.
  5. Locate the text in the historical you want to copy.
  6. Use your mouse cursor to highlight the text to select it.
  7. Right-click the mouse and from the popup menu, select Copy.
  8. Go back to your current form.
  9. Locate the text field in which you want to add the text.
  10. Right-click the mouse and from the popup menu, select Paste. The text is added to the current form.
  11. You can repeat the steps to add more text.
