2076089 - Legal Scan - Performance Management


  • This Article describes what is Legal Scan and how to maintain the Legal Scan library. Also discusses the Disable Legal Scan On Route Option.



  • Performance Management



  • Available only if your company is using the Legal Scan tool.
  • Allows the user to perform legal scan of the entire form.
  • When you select this option, your users will see the Legal Scan button ( 1.jpg2.jpg)
    (3.jpg4.png ) on the toolbar, and can use this feature to check for misspellings in individual comment sections only, or on the entire form.
  • This change applies to existing forms as well as newly created forms.
  • Note If you want Legal Scan turned on, select this option and make sure you don't select the Disable All Toolbar Buttons option.


The Legal Scan is a list of words and phrases that the user is expected to review and update if they are not appropriate.  It includes suggestions on what to avoid and how to reword. 

The Legal Scan works off exact match so include all variations of a word or phrase. The description can be the same



  • egotist
  • egotistical
  • egotists

Keep the straight quotes and underlines.  They will be replaced by the word that needs to be reviewed.



  • "Are you describing a personality trait?
  • Words describing personality traits such as "_", "warm", or "calm" should be avoided.  Focus on describing employee behavior in specific situations."



Enable or Disable Legal Scan

  1. Click Admin Tools
  2. Click Performance Management
  3. Goto Company Processes & Cycles section
  4. Click Performance Management
  5. Click Manage Templates
  6. Click on the template name you want to remove Legal Scan
  7. Click General Settings
  8. Click Advanced Settings
  9. Uncheck Enable Legal Scan
  10. Click Update Form Template


Disable Legal Scan On Route

Go to Admin Tools and open your form template advanced settings > Check Disable Legal Scan On Route


Disable Legal Scan On Route

If full form Legal Scan is enabled in provisioning a user will receive the popup for Legal Scan on route. Enabling this feature will disable Legal Scan on route for the specific template.

Change timing

Immediate, including existing forms.

Adding Legal Scan Library Keywords

  • When creating a Legal Scan import file:
  • File must be saved in CSV format
  • First column contains the keywords.  Keywords must be in lowercase.
  • Second column contains the Suggestion text.


If creating translations for each language, create a separate file for each language




 To upload new keywords to Legal Scan library

  • Go to “Admin Tools” > “Company Settings” > “Legal Scan Library Import”.
  • Select Legal Scan library import file. File must be in CSV format.
  • Select the Locale.
  1. Click “Import”.





Deleting Legal Scan Library Keywords

Currently we have no way to remove existing Legal Scan keywords from Admin Tools.  It has to be done at the database level directly.

To remove previously added keywords from Legal Scan library

  1. File a JIRA request to DCOPS, and assign it to user "Release Engineering".
  2. In the JIRA description, please note the company server locations (AZ or EU etc.). If it is possible, include the CS tickets.
  3. If possible, also include user/manager approval. Attach the email or Account Manager can leave comments in the JIRA.
  4. Give sample SQL to remind DCOPS about what to execute to remove a word:

The "Legal Scan" words are in the sys_config table.

Here is the script to find if the word exists:

select * from <Company Instance Name>.SYS_CONFIG where SYS_CONFIG_TYPE = 'legalscan' and SYS_CONFIG_KEY = 'woman'

Here is the script to delete:

delete from <Company Instance Name>.SYS_CONFIG where SYS_CONFIG_TYPE = 'legalscan' and SYS_CONFIG_KEY = 'woman'
