2076088 - Launching Forms - Top 10 Reasons Forms Fail to Launch (Forms won't create) - Performance Management

Symptom

  • I am trying to launch performance forms and the forms are not creating.  What could the issue be?  What are some things I should check either in Admin Tools or in the form configuration?
  • Forms not launching
  • Cannot create forms

First Step

Typically the email you get will explain why forms are not launching which should provide guidance on what you need to correct. But if you are not getting any email or the failure is unclear, we recommend that your first test be to launch the last known working version of your form. That will usually be last years template. If you can successfully launch last years template to some test users then you have confirmed it is not a system issue, or user issue, and most likely a config or data issue relative to the new year cycle.

Next attempt to launch the new template to just one or a few different users to see if it can launch at all. If it does then you know its probably bad data as outlined above with just some users. Support may be able to help identify the source of bad data.

If it wont launch at all to anyone then it may be some of the below options, most likely a misconfig. If you have changed your template from the previous year yourself and it is not working you may need to engage a paid consultant to develop a valid template.

 

These are ordered by most common causes. Please work with support if needed to evaluate each scenario.

  1. Users are not active or not in Default User Group. (ensure user data is correct)

    3. Symptoms: Typically new users, or users with recent manager changes or after data changes.

  2. The employees' manager is not active
    1. Solution: See above link and make sure direct manager (and other managers in hierarchy) are all set as active.
    2. Symptoms: Issue usually is noticed after manager change occurs.

  3. Form has invalid hard coded competency codes that have either been deleted from library or were IDs from test not production
    1. Solution: Customer Success can go to provisioning > form templates > for the affected template simply open it and SAVE. If there are invalid items in the XML then an error will be returned at the top of the page.
    2. Symptoms: Typically fails for everyone since it's hard coded onto the form.

  4. Excessive Field Data: Your goals, competencies and other custom fields all have designed limitations as to how much data can be stored in these. Please ensure that employee data that may have been entered in any area does not exceed the design limitation for the form.
    1. Symptoms: If the goal happened to be cascaded to large numbers of people then you could see broad failures, however, if it just happens to be 1 person or a few people who are enterring invalid goal names, this can be tricky to realize as the root cause. Typically random failures.

  5. Invalid Goal Data
    1. Poor Character Data entered: Make sure end users have not cut and pasted Microsoft word information into goals as this will contain word HTML that can impact proper functionality of the product.
      1. Recommendation: If users have entered formatted text, copy it out to notepad, and then back in as plain text to remove all Word formatting.
    2. Invalid use of Goal NAME field. Many clients incorrectly use this field and instead of entering a short goal title, and correctly using the goal DESCRIPTION field for more detailed info, they put the entire goal details into the goal detail. This is an invalid use of this field and can lead to a failure of forms launching.
      1. Solution: Ensure goal names are short.
      2. Goal Name length max 2000 characters
    3. Large Goal Description: Entering too much info (more than 4000 characters) into the goal DESCRIPTION field. Is is a bad practice for a goal to have exhaustively long descriptions. The supported limit is 4000 characters. If goals contain more than this it will prevent forms from launching.

  6. Invalid Form Sections
    1. Solution: Customer Success can go to provisioning > form templates > for the affected template simply open it and SAVE. If there are invalid items in the XML then an error will be returned at the top of the page.
    2. Symptoms: Fails for everyone getting the form because of the invalid section. However it is possible it might work for some if the xml issue happens to be impacted only by specific user data.
  7. Timing of Imports: 2144482 - Performance Management: Launching Forms - Forms Fail to Launch Due to Timing Issues

    1. Symptoms: Random failures that seem to have no logical explanation. Works most of the time. At times groups of people fail, whereas at other times it is failing for just individuals.

  8. You are not performing data updates/employee imports in valid order for some forms to create. 2087907 - Data Imports and Exports: Order for Importing User Changes Via Employee Imports  
    1. Symptoms: Random failures that seem to have no logical explanation. Works most of the time. At times groups of people fail, whereas at other times it is failing for just individuals.

  9. Invalid Route Map First Step
    1. Check the route map and ensure that the first step has valid role, and that person exists, and check that no strange characters are used in your route step name.
    2. Symptoms: This will either fail for everyone if everyone has the same invalid person in the first step. However it may only fail for a specific person or group of peole that happen to have that person in the first step.

  10. Invalid HTML/XML in your form template - misconfiguration
    1. Solution: If you have reconfigured your templates then revert back to last know working copy. Confirm your old template still works and can launch a form. If it does then copy this template and make careful edits so as not to break functionality.
    2. Symptoms: Typically will fail for everyone all the time. However, due to the nature of HTML, it is not impossible that for some it might just work. It all depends on how the break in the HTML manifests itself.

    1. Symptoms: Random failures every now and then for established processes. At times entire groups of people not getting forms. For new processes it may fail for everyone.

  12. Template in Admin tools is not set as Active
    1. Check template status in admin tools form templates.
    2. Symptoms: Fails for everyone all the time.
