How to limit who can see information on the 360 Drilldown and/or the 360 Detailed Reports

Enable 360 Detailed Report Permission for selected roles

The option can be enabled in Admin Center or can be configured in the template XML. For the XML configuration, contact your Implementation Partner. The option will enable you to define who has the ability to drill view the detailed 360 report. Only those roles permissioned will see the link and be able to access the Detailed 360 report.

To enable the permission via Admin Center, please follow these steps:

  1. Go to Admin Center > Form Template Settings > [Select the 360 Template].
  2. Search for the option Detailed 360 Report Permission Control.
  3. Select Enable 360 Detailed Report Permission for: then check the roles you wish to grant permission.
  4. Available roles are Process Owner, Manager, Employee, HR Rep, Approvers, Users with Detailed Reports Privilege, Manager of Employee`s Manager. 

Enable 360 Drilldown Permission for selected roles

This will enable you to define who has the ability to drill into all forms from all participants for the 360.  By default the employee has the ability to open and view their own form, but not the forms of the other participants.  Enabling drilldown permissions enables that role to view all forms from all participants.

  1. Go to Admin Center > Form Template Settings > [Select the 360 Template].
  2. Search for the option Enable 360 Drilldown Permission for: 
  3. Available roles are Process Owner, Manager, Employee, HR Rep, Approvers, Users with Detailed Reports Privilege.

The 360 Drilldown Permission for selected roles specifies which 360 Participants can view the individual evaluation results.

You can choose more than one type of Participant. Your selections apply only to this type of form, and they override any default company settings.

Tip: These Participant options work in conjunction with each other, meaning users who fit in more than one category will get included. For example, if you select Manager/HR and Approvers because you want to exclude the subject of the evaluation (Employee), then make sure that the subject is not also one of the Approvers. Otherwise, the subject will be included, even though you didn't specifically choose the option.

The participant choices are:

  • Process Owner
    The last person to modify the form before it's distributed to others for evaluation.

  • Employee
    The person who is the subject of the 360 evaluation.

  • Users With Detailed Reports Privilege
    Any person who also belongs to a user group that has the Detailed Reports Privilege associated with it.

  • Manager/HR
    The manager or the HR representative of the subject of the form.

  • Approvers
    Everyone who contributed to, or modified, the content of the form before it was distributed for evaluation.

NOTE: The changes for both 360 Detailed Report Permission and 360 Drilldown Permission apply to existing forms as well as newly created forms.
