1467001 - How to Maintain Employee's Private Contact Data and Workplace Contact Data

Symptom

For each employee, the system maintains two sets of contact data: Private contact data and Workplace contact data. You want to know how to maintain employee's private contact data and Workplace contact data respectively.

Reproducing the Issue

  1. Go to the Personnel Administration work center.
  2. Select the Employees view.
  3. Select the respective employee.
  4. In the below Details, you can see Phone, Mobile, E-Mail and Building/Room in Communication Data.

You want to maintain these data:

  1. Go to the Personnel Administration work center.
  2. Select the Employees view.
  3. Select the respective employee and the Edit button.
  4. In popup, select the Private Data tab, the Private Contact Data link.
  5. You change the data in the Private Contact Data section and select the Save.
  6. You note that employee's data in Communication Data in Employees view does not change.

Cause

The system shows employee's Workplace contact data in Communication Data in Employees view. The Private Contact Data in employee's personnel file corresponds to employee's Private contact data.

Resolution

Follow the below steps to maintain employee's Workplace contact data:

  1. Go to the Personnel Administration work center.
  2. Select the Regular Tasks view.
  3. Select the Change Workplace Contact Data link. 
  4. Select the employee and enter data in Communication Data and Address Data and select the Save button.

Or

  1. Go to the Personnel Administration work center.
  2. Select the Employees view.
  3. Select the respective employee and the Actions button, the Change Workplace Contact Data option. 
  4. Enter data in Communication Data and Address Data and select the Save button.

You, as a personnel administrator, can change employee's Private contact data as follows:

  1. Go to the Personnel Administration work center.
  2. Select the Employees view.
  3. Select the respective employee and the Edit button. 
  4. In popup, select the Private Data tab, the Private Contact Data link.
  5. You change the data in the Private Contact Data section and select the Save.

Or the employee can change his/her Private contact data by Employee Self-Services:

  1. Go to the Home work center.
  2. Select the Self-Services view and Self-Services Overview sub view.
  3. Select the Edit private contact data link.
