3051283 - Employee Import Email Notification Changes - H1 2021

• From H1 2021 after you change users managers through Employee Import tool, Manage Users, Import Employee Data, HRIS Sync or change managers in People Profile, if document transfer happens, you now receive a separate email notification about document transfer results, including lists of users whose forms have been transferred or failed to transfer.
• Previous version you received only one email notification about user import or update results which included document transfer results, now you will receive two email notifications about user import or update and document transfer results respectively.
• This KBA also outlines changes to the Employee Import Notification after the change.

This enhancement will ensure better performance by separating these two emails means the two job can run individually in parallel, the total time needed is less, and the failure of one part will not impact another.

This enhancement is universal and will be available for all customers as outlined on the timeline below:

Timeline:

For Preview environments, the feature to Separate Email Notification About Document Transfer was turned on for some customers from the release beginning until May 4th.  The feature rollout was then made available to all customers after May 4^th.

For Production environments, the feature to Separate Email Notification About Document Transfer was turned on for some customers from the release beginning May 24^th until June 19th. This feature was made available to all customers after June 19^th.

After the feature to separate email notification about document transfer is turned on, you will see two separate emails if document transfer happens (employee import and document transfer), once you see these emails been sent you know the feature has been turned on for your instance.

Employee Import Email Notification behavior changes :

1. Changes of characters encoding
   
   

   Before email shows system-defected encoding type of input file as "Character Encoding: UTF-8."
   After Email shows selected encoding type selected from the job config UI, as "Character Encoding: WINDOWS-1252 ", see screen shot below :
   
   
   

   Note : Above won’t affect the import job, because the system still will process import file in UTF-8. The behavior change is now showing the correct information set by the job and is expected

   
   
2. Default password setting now shows as 'USERNAME' previously, it was 'RANDOM_PWD' in Employee Import status e-mail
   
   Before regardless of the Employee Import Job Settings the employee status email always printed "Default Password for New Users: RANDOM_PWD." this was because the system always set system-generated random password for new user's password.
   After employee Import Status Email will print customer-selected default password in email based of the Employee Import Job Settings, see screenshot below: 
   
   
   Note: The system will still set system-generated random password for new user's password regardless of job settings as its no longer possible to select Username, Userid and Email.
   
3. User 'xx' has been transferred to new manager 'yy' is no longer displaying in the status e-mail.
   
   Before employee import notification manager transfer details were available.
   After employee import transfer details are no longer showing this is expected however our Product Team are reviewing adding this information back for H2 2021 Release.
