2860149 - Business Rules for Offer Approval and Offer Letter - Recruiting Management

Symptom

Recruiting users with admin privileges can define Business Rules for Offer. The following are supported:

  • Rule for Offer Template Selection
  • Rule for Offer Approval
  • Rule for Candidate Decision on Offer Letter
  • Rule for Electronic Signature on Offer Letter

Resolution

To enable Business Rules and grant the permissions to work with rules in Recruiting, you can refer to the article 2515173 - Rules Engine in Recruiting Management

NOTE: The following examples were built to provide an idea of the feature capability.  They may not work in certain environments. Any rule implementation or customization must be handle by the Partner or Implementation Team.

Rule for Offer Approval Template Selection

You can prepopulate the Offer Approval Template field in the Offer Approval step based on a rule definition. See below example:

  1. In Admin Center, go to Configure Business Rules
  2. Create a new rule > Recruiting dropdown > Job Application: Basic Business Rule Scenario
  3. Set the Rule Name and select the Job Requisition Template
  4. Define the "If" criteria as desire or mark as "Always True"
  5. Then set the Job Application Template.Offer Template to be equals to the template desired

  1. Assign the rule created on the previous steps to a Job Application Template
  2. In Admin Center, go to Manage Rules in Recruiting
  3. Job Application tab > Select the Job Requisition Template
  4. Template-level Rules > Add the rule you created on "Rule for Offer Template Selection" > Save the changes

Rule for Offer Approval or Decline

The rule for this trigger will be executed when an operator approves or declines an Offer. The rule will be executed on action of last person who approves or the first person who declines the offer. See below example:

  1. In Admin Center, go to Configure Business Rules
  2. Create a new rule > Recruiting dropdown > Job Application: Basic Business Rule Scenario
  3. Set the Rule Name and select the Job Requisition Template
  4. Define the "If" criteria as Job Application Template.Offer Approval (All).Offer Status is equals to value Completed or Decline. (Note: Only these two Offer Approval statuses are supported)
  5. Then set Job Application Template.Candidate Status to be equal to value Offer Approved or Declined

  1. Assign the rule created on the previous steps to a Job Application Template
  2. In Admin Center, go to Manage Rules in Recruiting
  3. Job Application tab > Select the Job Requisition Template
  4. Template-level Rules > Add the rule you created on "Rule for Offer Approval" > Save the changes

Rule for Candidate Decision on Offer Letter

You can now define a rule based if candidate accepts or declines an online offer letter. See below example:

  1. In Admin Center, go to Configure Business Rules
  2. Create a new rule > Recruiting dropdown > Job Application: Basic Business Rule Scenario
  3. Set the Rule Name and select the Job Requisition Template
  4. Define the "If" criteria as Job Application Template.Offer Letter.Status is equal to Accepted or Declined
  5. Then set Job Application Template.Candidate Status equal to Ready to Hire

  1. Assign the rule created on the previous steps to a Job Application Template
  2. In Admin Center, go to Manage Rules in Recruiting
  3. Job Application tab > Select the Job Requisition Template
  4. Template-level Rules > Add the rule you created on "Rule for Candidate Decisions on Offer Letter" > Save the changes

Rule for Electronic Signature on Offer Letter

This rule will get triggered when a candidate accepts or declines an electronically signed offer letter by DocuSign.

  1. In Admin Center, go to Configure Business Rules
  2. Create a new rule > Recruiting dropdown > Job Application: Basic Business Rule Scenario
  3. Set the Rule Name and select the Job Requisition Template
  4. Define the "If" criteria as Job Application Template.Offer Letter with Electronic Signature.Status is equal to Accepted or Declined
  5. Then set Job Application Template.Candidate Status equal to Ready to Hire

  1. Assign the rule created on the previous steps to a Job Application Template
  2. In Admin Center, go to Manage Rules in Recruiting
  3. Job Application tab > Select the Job Requisition Template
  4. Template-level Rules > Add the rule you created on "Rule for Electronic Signature on Offer Letter" > Save the changes.

NOTE : The Candidate Status could be renamed to the Application Status etc.
