2785629 - Check Tool: How to use Check Tool to check for duplicate usernames

Symptom

  • How can I check if there are duplicate usernames in the system?
  • When importing users you receive a error "The username already exists in the system"
  • In provisioning I am trying to enable the feature "Enable Non-Case-Sensitive Username" but it will not save.
  • Can the Check Tool tell me what users are preventing me from enabling non case sensitive usernames in provisioning?
  • I need to enable non case sensitive usernames to allow SSO users login but the feature won't save.

Why might I need to use this Check?

  • You can use the Check Tool to check the system for duplicate usernames :
    1. To check for any duplicate usernames in the system to run this check navigate to Check Tool -> User Management -> User Information -> Run "The username exists in the system" as shown in screenshot below.
    2. To check for any duplicate username in the noncase-sensitive mode to run this check navigate to Check Tool -> User Management -> User Information -> Run "There are no duplicate usernames in the noncase-sesitive mode" as shown in screenshot below.

How to enable the Check Tool?

How to Use the Check Tool to check for Non-case-sensitive duplicate usernames:

  1. Navigate to Admin Center
  2. Check Tool
  3. Select Application "User Management"
  4. Select User Information
  5. Select "Non-case-sensitive duplicate usernames must not exist"
  6. Run 1 Check

  7. The results of the Check will appear in the Result Column.

  8. The results will show the list of Usernames that are duplicated in the system.

Note : As of H1 2021, the Check Tool for checking duplicate username in the noncase-sensitive mode can now share UserID's so that soft purged users can be identifed the Check Tool now shows Username/UserID/User Status so customers can identify if a user has been soft purged, causing the duplicate username.

When might i run Check Tool to check for Non-case-sensitive duplicate usernames :

  • There are two prerequisites that must be met to enable the feature ""Enable Non-Case-Sensitive Username" in provisioning outlined in KBA 2214831 - Is there a way to remove the case sensitivity of Usernames in SuccessFactors?
    • If, on saving the feature, you notice it does not save this means you have not met both prerequisites.
    • One of the requirements to enable the feature "Enable Non-case-Senstive Username" outlined in is to ensure there are no duplicate Usernames in the system.

    How to Use the Check Tool to check for duplicate usernames:

    1. Navigate to Admin Center
    2. Check Tool
    3. Select Application "User Management"
    4. Select User Information
    5. Select "The username exists in the system"
    6. Run Checks
    7. Enter the username you wish to check and select Run ( see screenshot below ) 

    Note: The "The Username exists in the system" only checks for duplicate username in the system. It does not check for soft purged users this is because the tool is only checking by username which would show are purged in the system, it is recommended for these users you permanently purge the user through Admin Center > Data Retention Management > System Identifier Purge.

    When might i run Check Tool to check for  duplicate usernames:

    • When updating user through employee import you receive an error due to username already exists in the system. The check tool can easily help you identify the duplicate user.
    • Unable to update a user through "Manage Users"
