2699312 - Referred candidate shows 'Candidate has Applied' status when they haven't applied - Recruiting Management

Symptom

Candidate has been referred to a job in a Job Requisition, and it appears 'Candidate has Applied' in Referral Tracking page in Overral Progress when the candidate hasn't applied. When you click on the candidate's name, the 'Apply Date' field will have 'Not available' as information.

Reproducing the Issue

  1. Go to a job requisition;
  2. Click on 'Refer friend to Job';
  3. Enter the information required, and click on 'Send';
  4. Go to 'Referral Tracking' in Careers tab;
  5. You'll see the candidate referred with a status right next to the name saying 'Candidate has Applied'. When you click on the person's name, Apply Date field will have 'Not available' information.

Cause

  • This happens when the instance doesn't have any status 'Visible to Referrer' enabled on Edit Applicant Status Configuration.
  • It also happen when the person doesn't have at least the 'Forwarded' status and/or 'Default' status with 'Visible to Referrer' enabled.

Resolution

To solve this, you'd need to enable at least 'Forwarded' and/or 'Default' for 'Visible to Referrer' in Edit Applicant Status Configuration.

Please, check the 3 scenarios below:

Scenario 1: only 'Forwarded' status is set to 'Visible to Referrer'.

  • If you enable only 'Forwarded' status as visible to referrer, and the candidate is at the 'Forwarded' status in talent pipeline, the overall progress will show a 100% percentage, as this is the maximum the referrer will be able to see and this is where the candidate currently is. As the candidate move forward or is ahead in the talent pipeline, the overall progress will remain as 100%.

Scenario 2: only 'Default' status is set to 'Visible to Referrer'.

  • If you enable only 'Default' status as visible to referrer, the candidates that were forwarded but haven't applied yet will show a 0% progress, with the 'Candidate has applied' message right next to their name even when they haven't applied. If you click on the candidate's name, you will see that the 'Apply Date' will have the 'Not Available' information because the candidate didn't apply.

    The candidates that have applied and are in 'New Application' status in talent pipeline, the overall progress will show a 100% percentage, as this is the maximum the referrer will be able to see and this is where the candidate currently is. As the candidate move forward or is ahead in the talent pipeline, the overall progress will remain as 100% (this behavior will remain until the candidate reach another status that the 'Visible to Referrer' is enabled).

Scenario 3: both 'Forwarded' and 'Default' statuses are set to 'Visible to Referrer'.

  • If both statuses 'Forwarded' and 'Default' are set as 'Visible to Referrer' the candidates that were forwarded and haven't applied yet will show a 50% progress, with the message you designated to be displayed right next to their name when they are in the 'Forwarded' status in talent pipeline. If you click on the candidate's name, you will see that the 'Apply Date' will have the 'Not Available' information because the candidate didn't apply.

    The candidates that have applied and are in 'New Application' status in talent pipeline, the overall progress will show a 100% percentage, as this is the maximum the referrer will be able to see and this is where the candidate currently is. As the candidate move forward or is ahead in the talent pipeline, the overall progress will remain as 100% (this behavior will remain until the candidate reach another status that the 'Visible to Referrer' is enabled).
