2636395 - Hire Date Correction: Change Hire Date Retroactively Across All Hire Date Relevant Portlets

Symptom

If you would like to change the Hire Date after completing a New Hire, it has many effects, and you need to update the Start Date in multiple elements. This can become a cumbersome task if performed frequently. The Hire Date Correction feature provides a much simpler solution by having one place to change the Hire Date for all related Entities.

Initial Configuration

This feature does not need to be enabled. Only the permission needs to be granted to the admin user for the feature to become available in Admin Center.

Granting the Permission

  1. Navigate to Admin Center > Manage Permission Roles.
  2. Select the role which you wish to grant this admin tool permission.
  3. Click the "Permission..." button.
  4. Scroll down the left panel to Administrative Permissions > Metadata Framework.
  5. Select "Hire Date Correction" (or Recruit Date Correction).
  6. Click "Done" >, then click "Save Changes".

NOTE: The above permission to Hire Date Correction (or Recruit Date Correction) is currently an optional permission, i.e., all users having Metadata Framework -> Manage Data permission can also access and use the Hire Date Correction (unless 'Hire Date Correction' object definition is RBP secured).

How to use Hire Date Correction

  1. Navigate to Admin Center > Hire Date Correction.
  2. In the "Create New" menu on the right side, select "Hire Date Correction".
  3. Fill in the template with the corresponding information:
    • Correction Name: add a sensible name for the correction;
    • Employee: search by the name of the employee;
    • Current Hire Date: this field is pre-populated with the current Hire Date and cannot be edited;
    • New Hire Date: add the new Hire Date that should be set;
    • Status: this field is not editable and returns the status of the change after clicking "Save".
  4. Once the template is filled, click Save to trigger the changes.

Enhancements

In the 2H 2022 Release, we've enhanced the Hire Date Correction tool. Refer the documentation for enhancement ECT-184843 in the What's New Viewer.

 Validations

The UI will prevent you from making unsupported changes. The following validations are in place to prevent such mistakes:

  • Old and corrected Hire Date are not the same.
  • There is no spot bonus between old Hire Date and corrected Hire Date, when the corrected Hire Date is later than the old Hire Date. (Example: old Hire Date: 01.01.18, corrected Hire Date: 01.02.2018, spot bonus pay date: 15.01.2018. → Hire Date Correction is not allowed.)
  • Corrected Hire Date is in the same time slice of the entity as the old Hire Date when the entity is effective dated.
    • E.g., Job Information with two time slices: HIRE 01.01.2018 to 31.12.2018 and DATA CHANGE 01.01.2019 to 31.12.9999. Then the corrected Hire Date must be between 02.01.2018 and 31.12.2018.
  • Old Hire Date of the Employment Information is also the old Hire Date of the Job Information (Employment Information Hire Date and Job Information Hire Record Start Date must be exactly the same date).
  • Corrected Date is a Hire Date and not a Rehire Date. (It is possible to correct a rehire with new employment.)
  • Secondary assignments will get adjusted from 2H 2023 release onwards automatically when main employment's hire date is corrected. Meanwhile Refer KBA for workaround 3249554 - Secondary Assignments are not updated when the Hire Date is changed in Concurrent Employment
  • Rehire on New Employment: When the corrected hire date belongs to an rehire event, make sure the corrected (re)hire date is after the termination date.
  • Rehire(on old employment): Currently, the correction can be done only via the History UI.
  • Global Assignments are not supported, only regular employment can be changed.
  • If a Global Assignment exists, the Home Assignment cannot start after the start date of the Global Assignment (the same applies for Pension Payout).
  • Hire Date of Contingent Workers cannot be changed. Please use Edit Work Order from Actions in the People Profile UI.

List of Elements that will be updated when executing the Hire Date Correction

  • This tool makes changes in the affected entities if their start date is equal to the one in Job Information and Employment Information. The list of changed entities is predefined and cannot be changed:
    • Employment Info
    • Job Information
    • Compensation Information
    • Recurring Pay Components
    • Job Relationships
    • Personal Information
    • Global Information
    • Address Information
    • Recurring Deductions
    • Payment Information
    • Dependents Information including:
      • Personal Information
      • Global Information
      • Address Information
  • You can use the Hire Date Correction to update the following types of assignments:
      • Standard employment (single assignment only)
      • A rehire with a new employment
      • Concurrent employment
      • Home employment for employees with a global assignment
      • Onboarding candidates once they have passed the Pending Hire stage
  • Hire Date Corrections update the existing Employee Central records in the entities, they do not create additional ones.
