Symptom

An item or group of items need to be completed by users in a periodic manner for example, monthly, annually, etc.

Resolution

To setup the curriculum retraining, please follow these steps:

  1. Open the curriculum.
  2. In the 'Related' section, click 'Contents'.
  3. Then, click the 'Edit' button.
  4. Now, click the corresponding 'Edit' hyperlink of the item for which you want to setup the retraining.
  5. Fill out the fields in the below area, depending on your requirements. Each section is explained further below.

Green Area: 

This is where you manipulate the due date of the initial assignment.

  • Initial Number/Period: This indicates the timeframe as to when the assignee needs to complete the course.
    • Calendar - If you choose this option, the basis of required date would be the Basis Date.
    • Event - If you opt to select this, the due date will be based on the date when the event happened (Required Date Basis):
      • Assignment Date
      • Hire Date

Ex: Your setup is 30 days, Event, Hire Date. If the Hire date is 01-June-2017, the due date would be 30 days from June 1 (01-July-2017) disregarding the date when you assigned the curriculum to the user.

  • Previous Completions/: If not checked, the system will look for the item in the whole history of the User. If checked, this limits how far the system will look at the user's learning history to check if the item has already been completed.

Ex: Assuming that it is checked and the value is 30 days, then the user has completed the item 30 days or less ago, the item will automatically be recorded as completed upon assignment. If completed 31 or more days ago, the user needs to complete the course again.

Note: This feature is taken in account upon the assignment of the Curriculum not when editing it.

  • Required Date Basis: (See Event-Based option in Initial Number/Period above.)
  • Threshold: controls the ‘Grace Period’ when using Calendar Basis. If the item is assigned via a curriculum during the initial threshold, the item is due at the end of the current period in which it was assigned. If assigned after the initial threshold, the item is due at the end of the next full period.
    • For example, the start of current period is 01-Jan-2017 and retraining is every 3 months. So, the next due dates are is 31-Mar-2017, 30-Jun-2017, 30-Sep-2017, ...
    • If we set the threshold to 31 days, then all assignments made within 01-Jan-17 to 31-Jan-2017 will have due date of 31-Mar-2017. If assignment is 01-Feb-2017 to 31-Mar-2017, they will be waived for the current period and therefore will have the next due date of 30-Jun-2017.

Blue Area: 

This is where you manipulate the due date of the succeeding retraining of the item once the initial assignment has been completed.

  • Retraining Number/Period: This indicates when the training needs to be completed again. 
    • Calendar - If you choose this option, the basis of required date would always be the basis date.
      • If the basis date is 01-Feb-2017 and the retraining is required every 30 days, the next due dates would be 3-Mar-17, 2-Apr-17, 2-May-17, 1-Jun-17, 1-Jul-17, and so on, for all users independent of their last retraining completion.
    • Event - If you opt to select this, the due date will be based on the date when the last completion was recorded.
      • If the last completion was recorded on 01-May-2017 and the retraining is required every 30 days, the next due date will be on 31-May-17.
  • Basis Date:(See Calendar-Based option in Initial Number/Period above.)
  • Effective Date: This is the start date when the system will include the item as part of curriculum completion.
    • For example, today is 15-Jul-2017 and the item is overdue for me. If the effective date is 01-Aug-2017, the curriculum will not show as overdue. However, if the effective date is before 15-Jul-2017, the curriculum status will show up as overdue.

 

Example of Retraining Due Date Calculation Depending on Retraining Period:

The required date rule is: complete the current period then start counting.
