Symptom

How to create and end a Global Assignment via Import when the "GACONFIG" object has been configured to Automatically End an Assignment?

Environment

SAP Successfactors Employee Central

Resolution

The sequence for creating a Global Assignment for a user via import is as follows:

  1. Creating the HOST account
  2. Importing the Global Assignment Job Info data
  3. Ending the Global Assignment
  4. FAQ

Creating the HOST account

  1. Navigate to Admin Center > Import Employee Data and download the import file template "Global Assignments"
    1. Add the existing "person-id-external" for the user that you wish to send on a Global Assignment
    2. Add a new unique (previously un-used) UserID for the new HOST account
    3. Add the "Assignment Type", "Start Date" and "Planned End Date"
  2. Navigate to Admin Center > Import Employee Data > select "Global Assignments"
  3. Select the import file you created and Validate the file. If validation is passed > Import the file
  4. This has now created the HOST account

Importing the Global Assignment Job Info data

  1. Navigate to Admin Center > Import Employee Data and download the import file template "Job Information"
    1. Add the new user-id you created in the "Creating the HOST account" section above
    2. Add the Event Reason for Add Global Assignment
    3. Add the "Start Date" value you set in the "Creating the HOST account" part of this process
    4. Add all the relevant Job Info data
  2. Navigate to Admin Center > Import Employee Data > select "Job History" > Incremental Load
  3. Select the import file you created and Validate the file. If validation is passed > Import the file. Make sure you import the record in INCREMENTAL mode
  4. This will create the "Add Global Assignment" HOST Job Information record
  5. Navigate to Admin Center > Import Employee Data and download another import file template "Job Information"
    1. Add the user-id of the HOME Assignment
    2. Add the Event Reason for Away on Global Assignment
    3. Add the same "Start Date" value used in the HOST account
    4. Add all the relevant Job Info data
  6. Repeat steps 2-3. 
  7. This will create the "Away on Global Assignment" HOME Assignment Job Information record

Ending the Global Assignment

  1. Navigate to Admin Center > Import Employee Data and download the import file template "Termination Details"
    1. Add the new user-id you created in the "Creating the HOST account" section above, and the person-id-external of the employee
    2. Add the Event Reason for End Global Assignment
    3. Add the "End Date" as the last date of the assignment (the end date of the assignment)
  2. Navigate to Admin Center > Import Employee Data > select "Termination Details"
  3. Select the import file you created and Validate the file. If validation is passed > Import the file.
  4. This will create the "End Global Assignment" HOST Job Information record.
  5. Navigate to Admin Center > Import Employee Data and download another import file template "Job Information"
    1. Add the user-id of the HOME Assignment
    2. Add the Event Reason for Back from Global Assignment
    3. Add the "Start Date" value used as the "End Date" of the Termination Details of the HOST account
    4. Add all the relevant Job Info data
  6. Repeat steps 2-3.
  7. This will create the "Back from Global Assignment" HOME Assignment Job Information record 

Please Note: 

  • If the Global Assignment is created via Imports, ending it via UI will not automatically create the Back from Global Assignment in HOME. A Job History Import for the Back from Global Assignment has to be completed.
  • If using the Position Management feature Right to Return, please note this is currently only supported for Global Assignments created via the UI. No Right to Return processes will be triggered for Global Assignments created via import. 

FAQ

Q) If we are not using the GACONFIG object to automatically End assignments and to automatically add the "Away" and "Back from" Job Info records to the HOME account, should I import those records manually?

A) Yes you will need to import them manually, but we do recommend using the GACONFIG object to automate these actions

Q) Does adding the Add and End Global Assignment record in the HOST Account create the Away and Back from Global Assignment in the HOME Assignment when done via Import?

A) No, Imports Engine does not have support for this. When creating the "Add/End Global Assignment" in the HOST Account, it will not create a the "Away/Back from Global Assignment" in the HOME Assignment. The Job Information records have to be imported for the HOME Assignment.
