2363852 - What kind of attachment fields can be used in Candidate Profile and / or Application? - Recruiting Management

Symptom

  • What field types are supported on the application?
  • I would like to configure an attachment field in the Candidate Profile and populate the value onto Application, when the candidate applies for a job.

1. Supported field types on Candidate Profile and Application

Candidate Profile supports following attachment field types:

  • Standard resume and coverLetter field definitions defined with the type "richText"
    • Resume and cover letter attachment fields always display regardless of configuration but should be explicitly configured anyway. Accepted file types for resume and cover letter uploads are Microsoft Word, PDF, image, and text. Media files, such as .wav and .mp3 are not supported. Any other files types are not supported.
    • You cannot attach protected or secured.pdfs. Attempts to attach a secured .pdf produced the error message, An exception was encountered while uploading the Attachment.
    • All attachments and candidate data are scanned for viruses by the SuccessFactors platform. If any viruses are found, the documents will not be sent to the server.
    • Save text documents (.txt) with Unicode Encoding Type, not ANSI, or another type of encoding.
  • multiattachmentselection: A field that can have multiple documents uploaded and attached. Acts as a mini library where all documents uploaded are stored for later reuse. This means that there is an additional check box next to all uploaded files and that checkbox must be selected to attach the document to the record.

Application supports following attachment field types:

  • Standard resume and coverLetter field definitions defined with the type "richText"
  • multiattachment: Indicates a field that can have multiple documents uploaded and attached to it. Only a recruiting user can upload documents for a field of this type, and they can also edit the field thereafter. However, candidates can’t view or upload documents for a field of this type. Multiattachmentselection needs to be used for candidates to view and upload documents.
  • multiattachmentselection: A field that can have multiple documents uploaded and attached. Acts as a mini library where all documents uploaded are stored for later re-use without requiring to be uploaded again. Most candidates aren't familiar with this field behavior so this field should not be used in a candidate-facing configuration. Documents uploaded to multiattachmentselection fields on the candidate profile are automatically available in a field with the same field id on the application; the applicant can delete the attachment if desired.
    • Once a document has been added to the field, it can still be removed by the candidate through the external career site, however, recruiting users cannot edit the field (add or remove), even if they have write permissions. If the field is empty and the recruiting user has write permissions, they can upload an attachment to the field, but once the field contains an attachment, it is no longer editable by the recruiter.

Recommendation:
If the fields are configured identically, Candidate Profile content in multiattachmentselection fields can sync over to the Application in multiattachmentselection fields at the point when a recruiting user first views the Application. However, since the use of multiattachmentselection fields on the Application is not recommended, this is not a common configuration. Changes made to Application multiattachmentselection fields during the initial application are reflected on the Candidate Profile, but changes made to the application later during multi-stage applications will not sync back to the Candidate Profile.

NOTE:

  • Field definitions for the multiattachmentselection type cannot contain an underscore.
  • No video file formats/extensions (.mp4 - .mov - .avi - .wmv - etc...) are supported with these (richText and multiattachmentselection) attachment fields.

2. How to configure an attachment field which will be copied into application?

There are basically three ways for configuration of attachment fields:

  • You can configure a field only in the Candidate Profile and not in the Application - the documents attached in the Candidate profile won't be copied to the application.
  • You can configure an attachment field in the Candidate Profile template and a multiattachmentselection field in the Application template using the same field definition id - in this scenario, the documents attached to the Candidate Profile will be copied into Application, when the candidate applies for a job.
  • You can define the attachment field only in the Application template - the candidate will be allowed to attach documents only during the application.
  • The multiattachmentselection field type should be given write permissions in both the Candidate Profile and Application Template for the sync to work as expected.

NOTE: This configuration should be managed by a Partner Consultant.
