2357628 - Requested Class Availability Email Notification not sent to the user

Symptom

The Requested Class Availability Email Notification automatic process was scheduled, but no emails are being sent out to users after its running, despite the fact that there is a class that fulfills the users request.

Reproducing the Issue

  1. Create a user request as a user for an instructor-led course (ILT), when the class for a particular date is not found >
  2. This needs to be done by selecting the "Request a Class" option from the course on the Learning Plan and entering the relevant details >
  3. Add a "Need by Date" to a particular date, by when the user would need the class to be attended. For example, set the "Need By Date" to December 31, 2023 >
  4. Now, from the admin side, create a class for the course with multiple time slots >
  5. Have the Requested Class Availability Email Notification run >
  6. The user does not receive the e-mail for the just created class as per "ApmUserRequestedSONotification" template.

Cause

Please go through the possible causes listed below:

  • The class was created with multiple time slots. Such that the first time slot falls before the 'Need By Date' and final slot, the 'End Date' of the class is after the 'Need By Date'.
    • In our example, the first time slot falls before December 31, 2023, and final time slot, the 'End Date' of the class, is after December 31, 2023.
  • The class was created with a facility, and this facility does not have a region assigned. If the class is using a facility, then it must have a region.

Note: As explained in the guide Creating an Automatic Notification for Learners who Requested a Class, the automatic process also searches for "New learning offerings that have been added to the libraries of users who have made requests". This means that the APM will search for new classes that have been created since its last job execution.

Resolution

  1. Ensure that the 'End Date' of the class is set to before the 'Need By Date' entered for the user for the particular course. With that, the notification would be triggered to notify the users about the class that is created based on their request.
  2. Add a region to the facility by navigating to References > Physical Resources > Facilities.
