2277719 - Manager receives e-mail for expiration even after the setting is unchecked at the automatic process

Symptom

The manager is receiving e-mails for courses that are going to be due or past due even after the setting is unchecked at the Learning Expiration Email Notification Automatic Process (APM)

Reproducing the Issue

  1. The Manager setting under the Learning Expiration Email Notification Automatic Process is unchecked
  2. Run the Automatic Process
  3. The manager receives an e-mail for expiration for their subordinates that have courses coming due or that are past due. The requirement is stop these emails to the supervisor.

Cause

The reason why the managers are still receiving the e-mail for expiration of courses that are coming due or past due for their subordinates is because, even though the setting has been unchecked at the APM level for the managers not to receive the e-mail, it was checked earlier and hence courses that were created in the system when this setting was checked inherited these settings from the APM level. With that, this option still remains checked under the Item (Email Notifications tab at the Item record).

The Item level settings will always override the APM level settings.

Therefore, the managers will continue to receive these emails until this option is unchecked from the specific course level for courses that are going to be past due.

If the setting is unchecked at the Automatic Process level, any newly created Items will inherit that setting.

Resolution

Depending on business needs, unchecking the Manager checkbox at the item level might suffice.

  1. Proceed to Learning Administration
  2. Learning Activities > Items
  3. Search for the Item and access the record
  4. Go to the Email Notifications tab
  5. Uncheck the Manager checkbox under the Override Learning Expiration Email Notification Defaults and Apply Changes

If managers should not be receiving this notification for all but a select few Items:

  1. Proceed to Learning Administration
  2. System Administration > Automatic Processes > Learning Expiration Email Notification
  3. Uncheck Manager checkbox and choose Propagate settings to all active items
  4. Find any Items that do require this email to managers and follow the previous steps
