2269680 - Deleting email, offer letter, etc. from Candidate Profile while deleting or purging - Recruiting Management

Symptom

If a candidate profile is deleted due to privacy choices or an old candidate is purged from the system, there are various options for deleting email, offer letters, background check and onboarding content for the candidates.

Resolution

In Manage Recruiting Settings, under the section 'DRM and DRTM Purge Settings' > 'Deletion of Correspondence' there are 4 settings that you can enable. They determine which content will be deleted as part of the purge.

Please find below the details regarding these 4 options:

  • Delete all the email and print correspondence available for candidate: If Data Retention Management 2.0 is enabled and the application purge is triggered, this setting determines whether email correspondence portlet contents will be deleted as part of the purge. Due to the unpredictable nature of personally identifying data that these attachments may contain, it’s recommended that they be included in the data retention purge.
  • Delete all the offer letters available for candidate: If Data Retention Management 2.0 is enabled and the application purge is triggered, this setting determines whether offer letter portlet contents will be deleted as part of the purge. Due to the unpredictable nature of personally identifying data that these attachments may contain, it’s recommended that they be included in the data retention purge.
  • Anonymize all the request/response info of background check available for candidate: If Data Retention Management 2.0 is enabled and the application purge is triggered, this setting determines whether VI background check content will be deleted as part of the purge. Due to the unpredictable nature of personally identifying data that these attachments may contain, it’s recommended that they be included in the data retention purge.
  • Anonymize all the request/response info of onboarding available for candidate: If Data Retention Management 2.0 is enabled and the application purge is triggered, this setting determines whether VI onboarding content will be deleted as part of the purge. Due to the unpredictable nature of personally identifying data that these attachments may contain, it’s recommended that they be included in the data retention purge.
