Resolution

Overview & Description:

When working with SAP Jam, getting users into the system is one of the first steps and clearly one of the first questions. SAP Jam itself can display the users that are currently on SAP Jam and you can grant "Jam admin"(Support / Company) permissions, but SAP Jam always needs an IdP (e.g. SuccessFactors Platform aka Bix or IAS). When BizX is integrated with SAP Jam, user information into SAP Jam flows from BizX. There is no way to import user(s) into SAP Jam directly as it is done on SuccessFactors side. The process of syncing user information from SuccessFactors into SAP Jam is described in this document.

 

How can users access Jam?

First, In order for users to access SAP Jam, they will need to be granted "Jam access" as part of the general user permissions in RBP. Reference: [Reference: KBA 2474916 ]

Initial Sync Process: An Employee Export is run by Cloud Support during the initial BizX-SAP Jam integration. This syncs the entire user base from BizX. [Reference: Internal KBA 2872432 ]

Nightly delta Sync Job Explained: The nightly sync job updates user changes like new permissions or profile edits. It runs across all SAP data centers, processing any modifications made since the last execution. There is a backend out of the box " daily delta sync" Job that runs over night. It’s not accessible or editable by support, PS, or customers.

   

How to configure the "Employee Export to Cubetree" job manually?

  • As part of the initial setup and in some other limited cases SAP Support creates an export job manually in provisioning called "Employee Export to Cubetree" which "kickstarts" the nightly sync job for that customer and ensures their future changes are included in the nightly delta sync job. [Reference: Internal KBA 2872432 ]. ->It should not be edited in any way from the way it is first set up by support.

  

When does the delta sync run every day?

A → 🕖 By default, the sync is set to run at 7PM DataCenter time, and the process can take up to few hours. So new employees will be able to access their SAP Jam account after the sync has run, or a good rule of thumb is the following day.

⚠️ Note: While in most cases the user data changes in BizX can be expected to sync to Jam within the aforementioned 24 hours, this time frame can go longer in exceptional circumstances. Like- when the user volume being synced is large or there is unsually high load in SAP Jam servers.

 

How do we know that the delta has stopped running?

A → 🛑 If users are not able to access SAP Jam even though the SAP Jam link (under “Home” drop-down) is present will most likely mean that the Sync between BizX and SAP Jam is not running.

 

Would it be possible to change the Data sync frequency from Once per day to a higher frequency (such as twice per day)? 

A → ⏱ This is not possible. The delta sync is fixed to once per day at data center level.
