2134836 - Checklist for Scheduling of Analysis for Office Workbooks

Symptom

  • In case of an issue related to installation or usage of the scheduling functionality of Analysis for Office workbooks in BI platform or SAP BI Edge, go through the checklist below.

Environment

  • SAP BusinessObjects Analysis, edition for Microsoft Office
  • SAP BusinessObjects Business Intelligence Platform
  • SAP BusinessObjects Edge

Resolution

  1. In order to schedule Analysis Workbooks in BI platform or SAP BI Edge, it is necessary to install the Analysis Office BIP ADD-ON on the server side. Refer to PAM document and this chapter in the Administrator's Guide for the prerequisites and installation procedure of AO BIP ADD-ON. Below are the prerequisites mentioned in Administrator's Guide:

    - Administrative rights
    - Microsoft .NET Framework 4.7.2 or or a higher version
    - BI platform 4.3 SP0 or a higher version
    - Workbooks saved on BI platform with file format .xlsx or .xlsm.
    - 64-bit operating system
    - Adaptive Job Server is installed

    Currently the AO BIP ADD-ON is only available for Windows. There is no version available for others operating systems (e.g. Linux).

  2. Check all the precalculation restrictions described in chapter "Precalculation Restrictions" of the User Guide available here:

    - The setting Refresh Workbook on Opening is ignored.
    - The setting Force Prompt for Initial Refresh is ignored.
    - If the setting Remove Data Before Saving is selected, the workbook is not precalculated.
    - If the workbook is in protected mode, it is not precalculated.
    - SAP formulas concatenating other SAP formulas are not precalculated.
    - VBA macros are not executed during precalculation.
    - Icons are ignored, for example arrows in conditional formats.
    - Comments are ignored.
    - See also the limitations described in SAP note 2596114.

  3. Check the installation of BIP ADD-ON following the steps below:

    1)      Go to BOE/CMC (Central Management Console);
    2)      Go to Servers/Core Services/[SIA_NAME].AdaptiveJobServer;
    3)      Open "Properties" and check the scheduling services;
    4)      Is there an entry "Analysis Office Scheduling Service"?

    If NO: the installation of the AO BIP ADD-ON failed. Try to install it again. If the issue remains check SAP note 2489445.

    If YES: confirm that the parameter "Precalculation Server Path" is set. The parameter must be filled with the path to the precalculation executable, for example (please adapt to your installation):
    "C:\Program Files (x86)\SAP BusinessObjects\Analysis Precalculation\BiPrecalculation.exe"

    Important: if there are more instances of the same AdaptiveJobServer, the precalculation server path must be filled correctly in all instances (even in the ones which are disabled/stopped).

  4. Check the .NET version installed:

    1) Open the registry settings on the machine where AO BIP ADD-ON is installed or will be installed;
    2) Go to folder HKEY_LOCAL_MACHINE\SOFTWARE\Microsoft\.NETFramework;
    3) Make sure that there is a subfolder for .NET "v4.x" with the version in accordance with the prerequisites described in item #1 of this document;

  5. Check whether the issue occurs in the latest version of AO BIP ADD-ON. Refer to the SAP note 1518359 and download the latest version by visiting the link http://wiki.scn.sap.com/wiki/x/j41IGQ.

  6. Confirm in Analysis for Office that the SSO between BI platform and BW or HANA system is correctly working for the workbook, following the steps below:

    1)      Start Analysis for Office and use MS Excel -> File -> Analysis -> Open workbook from BI platform;
    2)      Log in to BI platform;
    3)      Open the workbook and click on “Refresh All” in Analysis ribbon;
    4)      No login to BW or HANA system should be necessary, workbook is refreshed;

    If SSO is not set up properly you will get an additional login dialog at step #4 that prompts for BW or HANA system credentials.

    ** The SSO must be working in order to schedule AO workbooks.

  7. Create the log files of the issue reproduced by following the steps below:

    1)      Go to CMC > Servers > Core Services > [SIA_NAME].AdaptiveJobServer > TraceLog Service;
    2)      Check if the Trace Level is set to "High";
    3)      If Trace Level is different than "High" please set it and restart the [SIA_NAME].AdaptiveJobServer service;
    4)      Reproduce the issue by rescheduling the workbook;
    5)      Go to the logging folder of the BOE (default path: C:\Program Files (x86)\SAP BusinessObjects\SAP BusinessObjects Enterprise XI 4.0\logging);
    6)      Send to SAP the following logs:
             - "Analysis_Precalculation_[JobName]_[InstanceID].glf";
             - "jobserver_[SIA Name].AdaptiveJobServer_AOSchedulingService_CHILD[variable part].glf";

    ** Refer to SAP note 2110682 for the log files.

  8. Variable prompt is available from BIP 4.1 SP5 and AO BIP ADD-ON 1.4 SP10. Refer to SAP note 2979389 for more details about how to enter the variable values;

  9. The "Program Logon" tab is not relevant when scheduling Analysis workbooks so it was removed from BOE 4.1 SP3 onwards (see SAP note 1985495);

  10. The "History" option is only available from BOE 4.1 SP5 onwards;

  11. Scheduling of HANA-based workbooks is supported in AO BIP ADD-ON 2.1 or higher and BOE 4.1 SP5 or higher;

  12. When using AO BIP ADD-ON 1.4 version, it is only possible to schedule workbooks wich are saved in BI platform in 1.x format. In order to schedule workbooks created in AO 2.x version, it is necessary to save the workbook in BI platform in 1.x format, as mentioned in SAP note 2155555.

  13. Scheduling of copied workbooks is only available from BI platform versions below, as mentioned in SAP note 2206483:

    4.1 SP05 Patch 09
    4.1 SP06 Patch 03
    4.1 SP07 Patch 00
    4.2 SP00 Patch 00

  14. It is mandatory that the workbook uses an OLAP connection with authentication SSO configured in BI platform for the connection to BW or HANA system (also refer to point #6 in this document). It is not possible to schedule an Analysis Workbook which uses a local connection.
    In case the workbook does not contain an OLAP connection, it will not be scheduled and the error in Instance Manager will be: "Document does not contain OLAP connections";
    In case the workbook contains an OLAP connection not set with SSO authentication, it will not be scheduled and the error in Instance Manager will be: "OLAP connection is not an SSO connection";

  15. If the job is failing, go to the Instance Manager in CMC and search for the failed job. Check the error in column "Error":

    If in Instance Manager, the column "Error" is showing the error 47: see SAP note 2099770 (issue related to .NET framework)
    If in Instance Manager, the column "Error" is showing the error 360: see SAP note 2279812 (issue related to variables)
    If in Instance Manager, the column "Error" is showing the error "Error writing to document; document data was removed before saving": see SAP note 2474603 (issue related to a flag in the workbook)
    If in Instance Manager, the column "Error" is showing the error "Error during precalculation; user input required": see SAP note 2488954 (issue related to variables)

  16. If the job is going into "Pending" status, refer to SAP note 3086499.

Opening SAP case:

If everything is in place according to the checklist above and still there is an issue related to installation or scheduling of Analysis workbooks, open a SAP case under component BI-RA-AO-BIP providing the following:

  1. All the prerequisites for the installation mentioned in this chapter of the Administrator's Guide (http://help.sap.com/boao) were checked; (YES/NO)
  2. All the restrictions described in chapter "Precalculation Restrictions" of the User Guide available here were checked; (YES/NO)
  3. All the checklist described in this SAP note were checked; (YES/NO)
  4. What is the version and support package of BI platform?
  5. What is the version and support package of AO BIP ADD-ON?
  6. Can you confirm that the issue occurs in the latest version of AO BIP ADD-ON?
  7. Is the issue occurring when trying to schedule a specific workbook or it occurs for all workbooks?
  8. If the issue is workbook-specific, attach the workbook to the case;
  9. What happens when opening the workbook in Analysis for Office client and refreshing it? Is this working?
  10. If the job is failing, go to the Instance Manager in CMC and search for the failed job. What is the error in column "Error"? Attach a screenshot to the case;
  11. Attach to the case the traces according to instructions mentioned in item #7 of this note;
  12. Attach to the case a document with screenshots showing all the steps to reproduce the issue;
  13. For SAP remote access, the following connections may be necessary and requested:
    - HTTP connection to BI platform (see note 592085);
    - HTTP Connect w. SNC/SSO (see note 2562154);
    - WTS connection to BOE server where AO BIP ADD-ON is installed (see note 605795);
    - R/3 connection to BW system (see note 812732); << if workbook contains BW data source
    - R3 Support with SNC/SSO (see note 2562127);<< if workbook contains BW data source
    - NI connection (see note 1718597); << if workbook contains BW data source
    - HTTP-based Tools (see notes 2056686 and 1787981); << if workbook contains HANA data source
    - SAP HANA Database (see note 1592925); << if workbook contains HANA data source
