2087291 - Exit Users and Entry User in Route Map - Performance Management

Symptom

  • How will the form route based on how I set exit users?
  • Will updating exit user on route map apply to live forms?

Resolution

  1. Select and open your route map
  2. Set the desired exit users and or Entry users with checkboxes.
  3. Save Map

Note: This change will only apply to new forms launched. If you need to modify live forms, then you would use the Modify Form Route Map option, not the Routing Maps feature

 

Entry Users

  • You are able to select 1 or more Entry users. A typical use is to set one of the roles as entry user who must take the first action before anyone else can take action.
  • Entry user is only available if the step type is Iterative.
  • If step type is collaborative then everyone can start editing the form, which is the main benefit of the C Step. You will only see Exit User checkboxes when its a C Step.

Multiple Exit Users

  • Routing maps do support multiple exit users. For example, a form may have a route step that includes E EM EH.
  • It is possible in the routing map "Exit User***" field to set the exit users as EM EH.
  • In that example the HR or direct manager could move the form on, the employee could not.

Using Multiple Exit Users in a C Step

  • When using a C Step (collaborative step) with no-one defined as the exit user, all roles defined in this step can send it on, but the form will go into a holding stage with the system user (v4admin) until all users complete and send.
  • With one exit user set, that person can send it on to the next step immediately without further input from other users. If the other user(s) send it on first, then again the form will be seen in their enroute folder in a holding stage with the system user (v4admin) until the person set as the exit user completes and sends it on.
  • If your route map had 2 users in the step (C EM E) and you set both E & EM as Exit Users, then either user could send the form immediately to second step without waiting for other person to do anything.
