Configuration Guide

Introduction

This feature enables an administrator to update the manual overall scores on a Performance Form through a bulk import/update. The value of this feature is that it allows an administrator to bulk update scores. There are two primary use cases for this feature.

The first involves performance evaluation processes that update the overall score outside of the SuccessFactors system. Examples of this include calibration processes carried outside of the SF system.

The second use case is to use this feature as a way to migrate performance evaluation scores into SuccessFactors from previous applications. For example, having the ability to see the historical scores for employees that were collected before SuccessFactors Performance Management was implemented. This way you would be able to take advantage of reports and dashboards having all performance scores for an employee in one central place.

The rest of this document provides detailed information on the behavior, and configuration of this feature.

 

Administrative Permission

  • The permission to import overall scores for PM forms can be granted to users through Admin Center > Manage Permission Roles > Permission > Administrator Permissions, under Manage Documents select 
  • As with all other administrative permissions this new permission is also available under Default User Permissions. Once a user has this new permission they will see a new link under Admin > Managing Documents > Import Overall Scores. This page allows the user to select a comma separated values file (CSV) that updates the overall scores.
  • The import process happens asynchronously and the user will receive a status email once the process is complete. The email will detail the results of the update.

 

CSV Import File Format

  • The import file should be a CSV UTF-8 (Comma delimited) file. The file can be named anything you wish (but should have a .csv extension).
  • The first row of the file will be the header row for the file. This tells the system how to treat each column within the file. There are 6 accepted values for the header row.

The only required entry in the header row is the DOCUMENT_ID, and at least one of the scores to update must also be included in the header row (i.e. must have at least one of the following: PERFORMANCE, POTENTIAL, COMPETENCY, OBJECTIVE).

RESERVED KEYWORDS:

UNRATED - Change the overall score to a value of unrated (<default-rating>) often used as "Select One" or "unrated".  UNRATED will only work, if the rating is not marked as required.

A blank entry will be ignored and no update to the score will occur. Only rating scale values are accepted in the file. Rating scale descriptions are not supported.

Import Summary Status Email

The system will send an email to the user that performed the import once the system has finished processing the entire import. Below is an example of what the email will look like.

FAQ Answers

  1. Only rating scale values (i.e. numbers) are supported in the import file. Rating scale descriptions are not supported.
  2. The system will re-calculate the OCOC (Overall Calculated Objective Competency) score when the manual overall competency or objective scores are updated.
  3. The feature only works for forms that are in a modification stage (i.e. it does not apply to signature, completion, or deleted stages).
  4. The feature only works for Performance Forms.
  5. The system will continue to process a CSV file even if an error is encountered (i.e. the system will update all the documents and scores it can and not stop or fail at the first error is encounters).
  6. If one entry is incorrect in a row the system will not update the other scores for that document.
  7. This feature only works for Performance forms that have manual overall scores enabled.
  8. There is no audit entry made in the documents for scores that have been updated by the import.
  9. The system will ignore invalid header row entries.
  10. The number of entries in the header row must match the number entries in all following rows.
  11. The system will only update a manual overall score to a value that exists in the rating scale that is associated to the score.
  12. The file size should not exceed 5MB for better performance.

NOTE: Objective/Competency and Performance/Potential summary sections support only Matrix grid rating scales (PMT-9326)

  • Because of this NA as a reserved keyword is not supported for these section types.
  • UNRATED will only work if the rating is not marked as required.

When using Summary Section and Performance/Potential Summary Section in the same form:

  • The PERFORMANCE rating allows you to update the overall scores for Summary section, Performance Potential Summary section, or Customized Weighted Rating section.
  • If there's more than one PERFORMANCE rating, the section with higher priority will be updated.
  • The following sections are listed in the order of priority from high to low: Customized Weighted Rating section, Performance Potential Summary section, Summary section.
  • The Manual Rating for the Summary Section and the Manual Performance Rating for the Perf/Pot Summary Section need to be enabled.
  • Otherwise the import will fail with "PERFORMANCE: : Manual rating not enabled for Performance score for document Id xxxxx"
