  • User Permanent Purge was renamed as System Identifier Purge.​
  • Auto Data Purge is only visible in preview instances.

Note: Live Productive tenants will not be affected by auto data purge - attachments. However, any TEST, DEV or QA instances located in Production Data Centers will be impacted by this change.

Before: In the previous version, there was no Auto Data Purge tab in Data Retention Management in production and sales demo instances

After: In the current version, a new tab Auto Data Purge is added in Data Retention Management in production and sales demo instances.


LOD-SF-PLT-DRMPLA-15190Purge Request Monitor Renovation

We make the following changes to the user interface of Purge Request Monitor:

  • Descriptions are updated on the main page and under each tab.
  • Tabs are renamed. We switch the place of the first and second tab based on the workflow.
  • The button to generate preview reports is updated to be differentiated from the button to approve purge requests.

Before: Previously, the tabs were named Request Pending Approval, Scheduled Requests Pending Preview Report and Approved Requests.

After: Now, the tabs were renamed to Requests Pending Preview report, Requests Final Approval and Purge Results & Discontinued Requests

Long running DRM/DRTM jobs can now be terminated from Provisioning > Monitor Jobs page. See jobs related to purge below.

As an admin, you can use Manage Data Storage to view and track the data usage for your tenant. You can also see data usage distributed by data type and by module. You can choose to purge data from these categories.

Before: There is no option to view data usage and manage storage space of your BizX tenant.

After: You can view data usage of your instance and manage storage space in the new Manage Data Storage tool.

Picklists

The phased retirement of Picklists Management includes the following milestones:

  1. December 31, 2018 (Q4 2018)) - All SAP SuccessFactors instances gradually migrated to Picklist Center tool and MDF-based picklists. After migration, the legacy Picklists Management tool is disabled in the instance.
  2. November 20, 2020 (2H 2020) - Legacy tool is disabled in all non-migrated instances. The page is still visible but read-only. You can no longer use it to import or export legacy picklists.
  3. Deletion - When all instances are migrated to Picklist Center, the legacy Picklists Management tool will no longer be available for productive use.

LOD-SF-PLT-PCKPLA-17445 / PLA‑12585Retirement of the Legacy Picklist Import Job Type

As part of the picklist migration effort, we've retired the legacy Import Picklists job type. You can no longer set up a new scheduled job of this type and existing scheduled jobs of this type no longer run. Moving MDF Data Import (FTP) job type for importing picklists in BizX.

Before: There was only a warning message informing customer that the job will soon be deprecated.

After: The Picklist Import Job type is removed.

Proxy

After: In the current version, people who are allowed to assign their own proxies can restrict the assignment to a specified date range.


Mobile

Single Sign On (SSO)

  • There's a new checkbox to select the SHA-256 Certificate signing option.
LOD-SF-PLT-NSAMPLT-77936Deprecation of Support for Non-SAML-Based Single Sign-On (SSO) Settings.

Non-SAML based SSO options in Provisioning will not longer be selectable for Customer instances.
Existing instances using any of those options can continue to use it, until complete end of support in b2111 release.

If our data indicates you are using an old authentication method, please expect s-user email communications beginning in February 2021.

Before: Users with access to provisioning have an option to setup Non-SAML SSO.

After: The option to add non-SAML-based SSO settings in Provisioning settings for new customer instances will reach end of development on May 21, 2021 and will be deleted on November 19, 2021.



Role based permissions (RBP)

When you create or edit a people pool of a dynamic permission group, only active picklist values are available in the Search and Select Items panel of the Search Results page.

Inactive picklist values in an existing dynamic group are still listed in the Selected Items panel. Once you remove them, you can't add it back.

Before: In the previous version, inactive picklists are still visible from manage permission groups.

After: Inactive picklist values in an existing dynamic group are still listed in the Selected Items panel. Once you remove them, you can't add it back.

LOD-SF-PLT-RBPPLA-5627Dynamic Group for Peers, which can be included in a target group for RBP.

When you assign a permission role to everyone or to a dynamic group, you can define the target population as peers or managers of the users in the access group. Peers are users who have the same direct manager as the user in the access group.

In the Grant this role to... page, besides Granted User's Department, Granted User's Division, Granted User's Location, and Granted User (Self), you can now also see Granted User's Peers and Granted User's Manager in the Target population of: dropdown.

Before: In the previous version, these options were not available.

After: You can now easily define a target population for peers.

You can now specify the target population of external Onboarding users as granted user's department, division, or location in Role-Based Permissions.

In the Grant this role to... page, you can now choose Granted User's Department, Granted User's Division, and Granted User's Location to specify the target population of the External Onboarding User type.

After:  You can now specify the target population of external Onboarding users as granted user's department, division, or location in Role-Based Permissions.

PLA-17829Changed By User Fields in RBP Change Audit Report

In RBP change audit reports, you can now identify the changes triggered by scheduled jobs through the Changed By User columns. The value SCHEDULED_JOB indicates that the change was made through a scheduled job. If the changes are triggered by scheduled jobs, the values in the Changed By User (First Name), Changed By User (Last Name), and Changed By User (Username) columns are SCHEDULED_JOB. for the following RBP related reports listed below.

  • RBP Role Change Report
  • RBP Group Change Report
  • RBP User Role Change Report
  • RBP Static Group Membership Change Report

Before: In the previous version, these options were not available.

After: You can now better differentiate whether a change is caused by a user or a scheduled job in RBP Change Audit reports.




Data Privacy Consent Statement (DPCS)

When you create a new DPCS statement or republish an existing DPCS statement, the redirect URL is validated.

Only URLs that start with http:// or https:// are allowed. If your redirect URL is invalid, an error message displays and you can't save or publish the statement.

This enhancement is to ensure the security of the redirect URLs in your DPCS statements.

Before: In the previous version, these options were not available.

After: When you create a new DPCS statement or republish an existing DPCS statement, the redirect URL is validated.

When a user becomes inactive, DPCS statements created by the user aren't displayed in the View History page. The user is shown as Deleted User instead of a meaningless string in the View Log page.

You can now identify DPCS statements created by inactive users easily.

User Management

Any selected options within Import Extended user information or Export Extended User information page is retained. This enhancement saves the repetitive efforts for administrators to customize the default predefined settings and mitigates the risk of data loss caused by incorrect settings.

Before: When you open the Import Extended User Information or Export Extended User Information page in Admin Center, the settings were restored to system default regardless of your last settings.

After: Now when you do the import or export next time, your last settings are remembered.

LOD-SF-PLT-UIMPLA-9901 / PLA‑10073Deprecate bulk import and Delta Employees import

We retire the two import jobs for better performance because they’re likely to cause database deadlock or other data issues.

Bulk Employees Import and Delta Employees Import are import jobs in the Manage Scheduled Jobs tool in Provisioning. These import jobs are retired as of May 21, 2021. You can use below admin tools or job types as a replacement.

For Employee Central Enabled Instances

  • Admin Center > Basic Import
  • Provisioning > Manage Scheduled Jobs > Job Type = Employee Data Import (for Employee Central only)

For Instances with NO Employee Central

  • Admin Center > Employee Import
  • Provisioning > Manage Scheduled Jobs > Job Type =  Employees Import


For Support - 3044718 - [INTERNAL] Release 2105 - Deprecated Jobs

You can now better prevent the import of unsecured content with Employee Import.

Before: The Security Scan of User Inputs option only works in Employee Central-enabled instances. 

After: Now, Employee Import files can also be scanned. For example, fields containing cross-site scripting are detected, skipped, and reported in the import status email.

LOD-SF-PLT-PWDPLA-13851Password Expiration for Long Time Unused Passwords 

You can now see a new admin option, Password Expiration for Long Time Unused Passwords, on the Password & Login Policy Settings page. To disable this option, choose N/A from the dropdown.

We made the enhancement to comply with Italian laws on password expiration.

Before: In the previous version, these options were not available.

After: You can now expire passwords that haven't been used to log into the system longer than a defined period.

LOD-SF-PLT-PWDPLA-15033Message Enhancements on the resetting users password page

We enhanced the UI and messages on the Resetting Users Passwords page.

  • A new column, Login Method, is added to the search result details table on the Reset individual user password (with supplied password) page and the Reset individual user password page.

  • When resetting passwords for SSO users, you can see a new message. The new passwords only impact Basic Authentication and token-based SSO. To reset passwords for SSO users, administrators can use the identity provider administrator panel instead.

  • When resetting passwords for a group of users, you can see the count of PWD users and SSO users who are impacted.

Before: There is no option to differentiate a SSO and PWD user in Reset user password page.

After: Now, you can easily differentiate SSO users and PWD users when resetting their passwords.

In the case of multiple employments, if a user's primary assignment doesn't have the login permission, the user is not allowed to log in and an error message displays.

Before: There is no indication of which account for the same user does not have login permissions.

After: You can now easily know which assignment doesn't have login permission.

LOD-SF-PLT-PWDPLA-13909 / PLA-2416CAPTCHA for the Forgot Password Page

You can specify how many consecutive attempts of resetting passwords from the Forgot Password page are allowed within one minute. After the threshold is reached, the system prompts a CAPTCHA. To disable this option, choose N/A from the dropdown. 

This enhancement can prevent the potential risk of flooding emails to users or email servers.

Before: In the previous version, these options were not available.

After: A new option, Enable CAPTCHA for the Forgot Password page, is added to the Password & Login Policy Settings page.



Admin Tools

LOD-SF-PLT-SUPPLU-3595Moved the Disable Built-In Support Setting from Provisioning to Admin CenterThe Disable Built-In Support option is moved from Provisioning to the Platform Feature Settings page in Admin Center. If selected, the Support tab isn't displayed across the application for Admin users.

Before: Customers will need to submit a ticket with support to enable or disable the feature from provisioning.

After: You can now enable or disable in-product support by yourself without raising an SAP Cloud Support ticket.

Configuration Center allows you to view or download configurations to your machine, and transport configurations from one tenant to another. For 1H 2021 release, the following module configurations are supported.
  • Employee Central
  • Talent Management
  • Qualtrics

Before: Instance sync tool is recommended for customers who would like to transport certain artifacts from one instance to another.

After: Customers can now use configuration center to view and download module specific configurations and move them from one instance to another.

LOD-SF-PLT-DOCTLS-19178View Tenant's Attachment Size 

You can view the size of the attachments that are stored in SAP SuccessFactors directly from Next Gen Admin - Data Volume tile.

Note that Attachment size isn't available if you are using Third-Party storage services such as OpenText or Box.

Before: The data volume tile has a direct link to Manage Documents page where administrators can view how much storage they consumed for attachments for their tenant.

After: Now, the tile also displays how much storage was consumed for attachments. There is no need to navigate to Manage documents page.

LOD-SF-PLTTLS-18096Deprecation of Legacy Admin Alerts

Legacy Admin Alerts reached end of maintenance on November 20, 2020 and will be deleted on November 19, 2021.

As of 2H 2020, Admin Alerts 2.0 has reached feature parity with the legacy Admin Alerts. New developments are only being made for Admin Alerts 2.0. For example, the assignment of admin alerts is only available in Admin Alerts 2.0.

Please note that alerts aren’t automatically migrated from the legacy Admin Alerts to Admin Alerts 2.0. Instead, you have to maintain the corresponding permissions.

You can set up email notifications for the alert types that are most important to your work.

The default setting for email notifications is set to "none". You can change the frequency to daily or weekly.

With email notifications, you get the information that you is most important to you in the frequency you need.

Before: In the previous version, these options were not available.

After:  Administrators can now setup email notifications for admin alerts.

PLS-14886Generate PGP Keys for Scheduled Jobs in Security Center

As a company administrator, you can now generate PGP keys used in scheduled jobs by using Security Center.

You can export or remove the newly generated keys and the PGP keys previously generated through Provisioning in Security Center.

NOTE: This feature is currently available for DC4 and DC17. Further updates on the availability of the self-service option for generating PGP keys will be shared on this KBA.

For the other data centers not mentioned, you may continue to use the Managing PGP keys option from Provisioning UI. 

Before: Customers will need to reach out to partners or product support to generate and download PGP keys from Provisioning.

After: Administrators can now generate and manage PGP key used in scheduled jobs without needing to raise an SAP Cloud Support ticket.

Basic Org Chart

After: Enhanced error messaging for basic org chart update issues.

Two configuration options for Company Organization Chart are moved from Provisioning into Admin Center.

  • Show Custom Manager Relationships in Company Organization Chart (for Company Organization Chart, Home Page, and Mobile People Profile)
  • Matrix Report Threshold: This is used to limit the number of persons displayed in the org chart.

Before: Customers will need to submit a ticket with support to enable or disable the feature from provisioning and to adjust matrix report threshold.

After: You can now manage the options by yourself without raising an SAP Cloud Support ticket.



Document Management

The Manage Documents screen in the Admin Center now includes details about the quantities of used and available attachment storage space. Beyond the Used amount and the Total Allocation information, the new link to View more information displays the amounts for your tenant’s Base Allocation, Purchased Storage, and Out of Compliance Storage.

  • Total Allocation: Tenant Storage Space Allocated.
  • Base Allocation: Default Tenant Storage Space Allocation for all tenants.
  • Purchased Storage: Tenant Storage Space that you've purchased from SAP SuccessFactors.
  • Out of Compliance Storage: Tenant Storage Space exceeding the sum of Base Allocation and Purchased Storage.

With the introduction of attachment storage limits on a tenant and the ability to purchase additional attachment storage space, as required for your business needs, it was necessary to provide a more detailed and convenient view of tenant’s attachment storage information. Additional storage is available for purchase after the SAP SuccessFactors Production Release on May 21, 2021.

Before: In the previous version, the document storage bar displayed only the amount of the Total Allocation and how much of that amount had been used.

After: In the current version, users can see how much space has been used and how much is available. The View more information link contains details for each type of storage and the corresponding amounts for Used, Total Allocation, Base Allocation, Purchased Storage, and Out of Compliance Storage.

The bulk download for attachments feature now includes three additional filters, which provide more granularity for extracting documents pertaining to a particular Division, Department, or Location.

The Manage Documents screen in the Admin Center has three new filters in the Request New Download form.

We added this feature to help our customers refine and narrow the scope of their bulk download request.

Before: In the previous version, these three options weren't available.

After: In the current version, the bulk download request form is enhanced to include filters for Division, Department, and Location.



New Homepage Experience, To Dos and Themes

We've added more quick actions to the latest home page that you can use to perform frequent actions or access frequently used pages.

Quick actions are visible based on role-based permission and system configuration. If configured in the system and relevant to a person's role, the following quick actions are available

  • Create Activity quick action enables you to create an activity in Continuous Performance Management.
  • Report Center quick action takes you to the Report Center page.
  • Favorites quick action enables you to review a list of available links and select your favorites, so that you have quick access to them on the home page.

Creating an activity and viewing reports are two common actions we decided to make available directly on the home page. The Favorites quick action provides access to other frequently used screens.

Before: In the previous version, these options weren't available.

After: In the current version, you can see quick actions for Create Activity, Report Center, and Favorites.

As an administrator, you can now decide which quick actions to show or hide on the latest home page.

All quick actions available in the system are visible by default. You can deselect the ones you don't want to use, so that they aren't visible to anyone, in any role, except for the Favorites and Saved for Later quick actions, which are always visible.

Before: In the previous version, this option wasn't available.

After: In the current version, you can use the Quick Actions option on the Manage Home Page screen to open the following dialog.

You can now use the Favorites quick action to review a list of available links and select your favorites, so that you have quick access to them on the home page.

The Available list includes some common links that we provide by default, as well as custom links added by administrators. The Favorites list includes only the links you've marked as your personal favorites.

The Favorites quick action on the latest home page provides a similar experience to Quick Links on the legacy home page. The addition of Favorites gives customers quick access to important pages from the home page.

Before: In the previous version, this option wasn't available on the latest home page.

After: In the current version, you can use the Favorites quick action to open your favorite links.

As an administrator, you can now add custom links to the Favorites quick action on the latest home page. You can also import custom links that you've configured for the Quick Links tile on the legacy home page.

Custom links are optional. If you add them or import them from the legacy home page, they're included in the Available list, along with the standard links we provide by default. You can configure one or more target groups who can see each link. You can also add a localized link name and description for each language in the system.

Many customers require the ability to display different links on the home page for different target groups. That ability isn't available for Quick Links on the legacy home page.

After: In the current version, you can add custom links in Manage Home Page.

You can now add business rules to custom cards that appear in the Organizational Updates section on the latest home page. Also, when you import custom tiles from the legacy home page to the latest home page, tiles with business rules can now be successfully converted to custom cards.

The Rule-based option for custom cards on the latest home page works in the same way as it does for custom tiles on the legacy home page. If you're in the process of adopting the latest home page and previously couldn't import some custom tiles because they used business rules, try importing them again.

Business rules can be used with custom tiles on the legacy home page. Adding support for rules to custom cards enables customers to control the content for different groups, according to their business needs.

Before: In the previous version, the Rule-based option wasn't available in the configuration wizard for custom cards on the latest home page.

After: In the current version, the Rule-based option is available in the configuration wizard for custom cards on the latest home page.

All users now see an icon in the page header that launches a product feedback survey about SAP SuccessFactors.

Choose (Give Product Feedback) in the page header to launch the survey.

After: In the current version, you can see an icon to launch the product feedback survey in the global page header.

The latest home page includes a card to remind users of Employee Central Time Off to take vacation regularly.

The home page card shows the following:
  • The amount of time, in days, since the last time the user took vacation.
  • The time when the user next has planned vacation.
  • An invitation to take vacation, with a link to the page where the user can apply for vacation.

The card appears on the landing page when it has been more than 30 days since the user's last vacation and he or she has no planned vacation in the next 60 days.

We developed this card to make it easier for users to maintain a good work/life balance.

Before: In the previous version, this option wasn't available.

After: This card will be visible in the user's homepage as reminder to take vacation regularly.

The legacy home page will reach end of maintenance on May 21, 2021 and will be deleted on May 20, 2022.

The legacy home page experience (introduced in Q2 2016) will be replaced by the new one (introduced in Q2 2020) for all customers. You can upgrade to the latest home page today, using the Upgrade Center. We encourage you to review the available information and begin planning to adopt the latest home page for your organization.

A new switch called "Enable alternate language for Solr index" was introduced to enhance searching users in Japanese and Chinese characters. 

Solr search is a dictionary based search, thus it easily causes other results to be hit when searching people by Chinese or Japanese names. The best practice for Chinese or Japanese is:

  1. Enable Solr search in Provisioning
  2. Enable alternate language for Solr index (for specific language e.g.: Japanese, Chinese) in Provisioning. 
  3. Rebuild the employee index; Please contact support to rebuild employee index. 

Please reach out to product support to assist you with enabling the feature in Provisioning end.

Multiselection is a universal push, but its enablement is controlled by SAP SuccessFactors modules. There is no module which has finished the adoption of this feature yet this will be shared in future releases, H1 2021 release is announcing the availability of the feature pending module team adoption.

SAP SuccessFactors Metadata Framework now includes different object categories to determine the type of data that an object represents.

SAP SuccessFactors Metadata Framework supports, Configuration, User Transactional, Non-User Transactional, Technical, and Uncategorized object categories. For pre-delivered objects, the object category is predefined and can't be changed.

In future releases, these object categories will help you define the default behavior and apply certain restrictions to the objects based on the type of data they represent.

For example:

  • Transport of objects from one instance to another instance is restricted if they belong to the Technical object category.
  • Default behavior is defined such that field extensions aren’t supported for objects that belong to the Configuration object category.

When a new user is created or an existing user's password is updated by others through API, the user is required to reset the password when they log into SAP SuccessFactors next time.

Password reset is required for the following users:
  • All new users created through the User entity in SFAPI or OData API
  • Existing users whose passwords have been updated through the User entity in SFAPI or OData API

Before: In the previous version, password reset wasn't required for such users by default. However, customers could request SAP Cloud Support to force password reset for their companies.

After: In the current version, password reset is required for new users created and for existing users whose passwords are updated by others through the User API.
