3000057 - Universal Change to Microsoft Excel XLSX Output for Report - Table & Report - Custom


Previously, exports via Report - Table (formerly Ad Hoc) and Report – Custom were saved to your local environment in the XLS format.

During the Second Half 2020 Release, these exports will use the XLSX (Microsoft Excel 2007 and later) file format.

Reproducing the Issue

  • This behavior can be observed when running the report offline or exporting it:
  1. Execute the report in Report Center
  2. Select "Run Offline" or "Export"
  3. Select "Excel" option
  4. You'll notice that the output file extension is .xlsx

  • Or in scheduled reports:
  1. Create a New Schedule
  2. Under Report Format select Excel
  3. You'll notice that the output file extension is .xlsx

  • The Reports schedules previously created had their format changed to .xlsx as well


The next-generation XLSX was introduced in 2007 and is Microsoft Excel default format. Benefits include:

  • Efficiency

    XLSX delivers the same content within a smaller, more efficient file, benefiting both SAP SuccessFactors resources and your local environment.

  • Convenience
    For the majority of customers who utilize Microsoft Excel 2007+, using XLSX allows you to open the export without enabling Microsoft Excel’s compatibility mode

Note: Following the upgrade, a portion of Business Intelligent and Reporting Tools (BIRT) templates, a type of Custom report, which utilize the .rptdesign file type, may be experiencing missing columns, incorrectly grouped rows, formula issues, or are altogether incompatible.

While our data indicates your company has a Production BIRT template with a .rptdesign file type, this doesn’t necessarily mean your reports are experiencing the issues outlined above. A temporary solution was enabled on the weekend of January 22, 2021 for a number of customers.

As this upgrade was primarily applied to better utilize datacenter resources, this temporary reversion, converting reports which were upgraded to .XLSX back to .XLS, should have no impact on your ability to access previously upgraded BIRT report.

An email with the communication of this change with further information was sent to the customers impacted.
