2934018 - How to allow access to specific users to new Learning Administration UI?

Symptom

  • There is a need to only allow specific administrators to the new Learning Administration User Interface (UI). How can this be done?
  • There is a need to block access to the new Learning Administration UI from specific users. How can this be done?

Environment

  • SAP SuccessFactors HXM Suite

Resolution

Everything stated here is under the assumption that you have all roles, permissions, etc. Please get with your Super Admins to provide the proper roles and permissions to proceed if needed.

The first step will be around the Learning Administration Tile:

With the b2005 (H1 2020) release, a new Tile on the Home Page will be visible to all users which have Learning Administration Role Based Permission. There is no way to restrict this Tile from specific users thus it needs to be removed from all users. To remove this tile:

  1. Access BizX and proceed to Admin Center
  2. You will want to search for the 'Manage Home Page' tool
  3. Find the Learning Administration tile
  4. In the 'Select' dropdown change it to 'Not Used'
  5. Save

The second step is to create a either a Role or Group that would be for the specific users that would only have access to the new UI. As this is very specific per your implementation of your current roles/groups, it is suggested to work internally with your BizX Administrator on how to proceed.

You can reference the User Assistance Documentation on Roles/Groups. Login may be required if the link does not work initially.

The third step is to create a way for these Administrators to access the new UI. Please refer to:

  • 2705153 - Set up Custom Navigation to Learning Administration in BizX
  • You will want to set the Permission to the Group/Role that was created in the previous step.

The final step is to modify the old Flash UI Admin Welcome Panel.

The old Flash UI has an introduction panel which is updated with b2005 release. Please see 2911953 - New Admin UI - How to Customize the Administrator Learning Home Page  for some additional information.

As the Flash UI introduction panel cannot be modified to a different panel, a label will need to be modified. The solution is to modify the label.

  1. Access Learning Administration
  2. Go to References > Manage Labels > Labels
  3. If Label ID filter is not present choose the Add/Remove Fields and add it
  4. Search with the Label ID of label.FlashRemovalMessage2
  5. Delete or update the current label to no longer reference the "<a href="{0}" target="_parent">here</a>." portion on any locales that are used by admins
  6. Save the changes

For reference, the standard English label is "Use the updated Learning Administration application <a href="{0}" target="_parent">here</a>." in case you choose to revert the change.
