2813743 - Considerations when activating Employee Integration (JB1) with already existing Employees in S/4 HANA Cloud

Symptom

You are going to activate the Employee Integration - Core HR with SAP SuccessFactors Employee Central (‏JB1‏) - and you have existing Employees in the S/4 HANA Cloud system uploaded via Import Employees App.

Resolution

Before proceeding with the considerations described in this KBA, please read carefully all the Set-up instructions of the scope item JB1.

In addition to the information provided in that guide, you could have some questions regarding the management of the existing employees in your S/4 HANA Cloud system. The expected result is to keep the current information updated in both system (after activating the Employee Integration, the source of data coming to S/4 Hana Cloud will come from SAP SuccessFactors Employee Central).

To have a consistency in the data, you have to maintain the same information between both systems:

The PersonExternalID / Employee ID, Name, CompanyCode, BusinessPartnerRole (corresponding to the Employee class and employment type) and Employment Dates must be identical in both systems. Important: if any field is different, the system might not recognize the existing employee and could generate a new employee or a new PERNR for the same employee, which is incorrect. Please consider that the PersonExternalID / UserAlias / UserName should be Uppercase. (The information has to be replicated as it is currently in S/4 Hana Cloud. Any further action, like global transfers, should be done only after replicating the employee).

Once the Employee Integration is active, the Employees will come replicated via EC Replication and is not possible to be uploaded via Import Employees never again.

The usage of both methods (Import Employees and EC Replication) should not be concurrently. Example: if the employee "A" was created via Import Employee (and not replicated) and the employee "B", which was created via EC Replication, is the manager or the subordinator of the employee A, the system will not work correctly, as both employees have a relationship and were created using different methods. The solution in this case will be replicate the employee A from EC.

Note: The Business Role "Administrator - HR Info" (BR_ADMINISTRATOR_HRINFO) has to be added to the user responsible of the Replication process.
