Resolution

For Go-Live Customer(s) Or Customers who are currently working with an Onboarding implementation partner

Partner is responsible for post refresh check. Please follow below steps.

For Live Customer(s)

When conducting a post-refresh health check, SAP SuccessFactors Cloud Product Support should confirm that activity is completed and customer can do their testing. See below the steps on confirming if a refresh is successful.

Checklist.pngStep 1: Onboarding Access

    1. Log in to SAP SuccessFactors HCM and click main menu to navigate Onboarding
    2. Once Dashboard and Work Queue shows

Note

    • If Onboarding Dashboard and Work Queue is accessible, see Step 2
    • If a Seamless Login message shows to everyone who needs access to Onboarding after refresh, see KBA 2223437

 

Checklist.pngStep 2: Foundation Import 

If Foundation Import is set up and enabled before the refresh, SAP SuccessFactors Cloud Product Support will put it back in place as part of post-refresh activity. In addition, once support confirmed that post-refresh activities are completed, it is needed for System Administrators to confirm that below jobs are working properly. See KBA 2630667

Foundation Imports Description
Complete User Sync Completely integrates BizX Users to Onboarding
Delta User Sync Synchronizes BizX Selected Updated Users to Onboarding
Permission Sync Synchronizes BizX Permission to Onboarding Security Groups
Relations Sync Synchronizes Relation Restriction of BizX User to Onboarding
Corporate Structure (Department, Division, Location) Sync Synchronizes BizX Corporate Structure or Legal Entities to Onboarding

 

Checklist.pngStep 3: Document Center

    • If Enable Document Center is selected in the form, and permission sync successfully runs, the Document Center should show in Onboarding sub-menu as expected.
    • If Document Center is not required is selected in the form, it will be deactivated and requires support intervention to enable it

Note

Documents from production environment will not be copied unless, customers provided a valid business justification.

Checklist.pngStep 4: Employee Portal

    • If Enable Employee Portal is selected in the form, the SAP Standard Employee Portal will show
    • If Copy Employee Portal from Source is selected, the Employee Portal of Destination should be similar to Source, see below instruction to confirm
      1. Login and navigate to SAP SuccessFactors HCM, click Main Menu and select Admin Center
      2. In Admin Center, use Tool Search to find Manage Employee Portal
      3. Verify if Employee Portal is same with Source
    • If No Action Required is selected, Employee Portal is deactivated

Custom PDF Forms should be copied from source to destination account

The following tools and action should be working properly without error messages after the refresh:

    • Initiate Onboarding
    • Setup Onboarding Integration
    • Onboarding Mapped Data Review (Recruiting to Onboarding)
    • Manage Pending Hire(s)
    • Field Mapping tool for Onboarding/Offboarding EC integration
    • Onboarding Mapped Data Review (Onboarding to Employee Central and Employee Central to Offboarding)

Test and verify if below features are accessible and logic is working as expected

    • Process
    • New Hire Activities and Hiring Manager
    • Notifications
    • Click to Sign or DocuSign eSiganture (Only if enabled)

 

For Implementation Partner(s) and Consultant(s)

After Internal Refresh Team, ensure that you put back below features back to their original settings if necessary.
