2184356 - LMS: Supervisors Receive Reminder Notifications for Schedule Offerings that they are not enrolled into

Symptom

Supervisors are receiving emails reminding them to attend Schedule Offering that they are not a part of. This email is sent as per the APMInstanceDelivery Notification Template.

Environment

SAP Successfactors Learning Management System (LMS)

Reproducing the Issue

A supervior receives an email that confuses him stating that there is a schedule offering coming up to attend. This happens even though he is not a part of the Schedule Offering. The email that he receives looks as below:

This email is actually being sent for his subordinate user that has the Schedule Offering to attend.

Cause

Earlier there was no option to control this email from being sent to the supervisor. The recepients of the email was User and Supervisor when the Schedule Offering Delivery APM ran. By default the user and supervisor received the email for this APM.

However, as a product enhancement, there is a feature now to limit the email from being sent to the supervisor. The learning Administrator can now choose if the Supervisor also should receive the email for Schedule Offering reminder.

The admin can do this by just unchecking a check box. Details mentioned in Resolution section

Resolution

In the Schedule Offering Delivery Automatic Process  screen, a new section called Email Recepients is added with 2 check boxes, one for User and other for Supervisor. The admin can uncheck this option if the requirement is prevent supervisor from receiving this email.

Consider including or excluding supervisors depending on how involved they are with their employees' training requirements

 An example is highlighted below for this process :

 

You want users to receive reminders about upcoming training seven days before the start of the scheduled offering and your scheduled offerings can start on any day of the week. Furthermore, your supervisors actively oversee their employees' training. In this case, we recommend:
-->Set Threshold to seven days so that users recieve an email a week before training.
-->Set the schedule to Daily so that the APM runs on Wednesday to pick up scheduled offerings that begin on Wednesday and runs on Thursday pick up ones that begin on Thursday, and so on.
-->Set Email Recipients to User (employee) and Supervisor so that the supervisor gets a copy of the reminder(IF REQUIRED) and can talk with the employee about attending the scheduled offering.
