1668261 - Cannot Change Responsible Unit Of A Released Project/Project task

Symptom

You are unable to change the Responsible Unit of a released Project/Project task in the Project Management work center.

Environment

SAP Business ByDesign

Reproducing the Issue

  1. Go to the work center Project Management.
  2. Go to the view Projects, sub view Projects.
  3. Show All Projects.
  4. Find the project XYZ.
  5. Click Edit and select Project Plan.
  6. Observe the field Responsible unit on tab Project Plan, sub tab Accounting.

 You see that the field Responsible unit is grayed out.

Cause

Once a Project  is set to status Started or Released, a baseline is automatically created, a snapshot is taken, and some fields become “Read-Only”, such as the project ID, project type, organizational assignments, and the billable field including customer information.

The Profit center shown in the project/project task is derived from the responsible unit/ Cost center once a project status is set to Started or Released.There after responsible unit is “Read-Only”.Also ,when we create a project, System sends a snapshot for accounting , and the profit center we see on the UI reflects in this snapshot.Since Project snapshot is already sent to accounting it does not get updated later. hence we do not allow changes  later.

Also once project or project task released they will be communicated to a lot of applications and objects FIN,HCM,SRM,CRM with responsible unit so that any actuals Time recoding, expense, procurement, sales on the task would be linked with cost center. The reporting unit is directly linked to financial accounting object hence the system will not allow you to change the Reporting Unit once the project is released.

Resolution

It is necessary to double-check the project settings while it is still in planning and before starting/releasing it. For more information on this topic please refer to the article "Project Status and Integration" in the Help Center of your SAP Business ByDesign system.

Since the responsible unit cannot be changed anymore the only option is to cancel the existing project and create a new project.

 or you may consider to create new tasks  after completing the existing tasks where you can add desired responsible unit's of existing projects.

Note: A change in the backend of your system is not an option since it would lead to inconsistencies from an accounting point of view.
